Overview

Join our dynamic team as a Conference and Event Planner, where your creativity, organizational prowess, and passion for hospitality will shine! In this role, you will orchestrate memorable events and conferences that leave lasting impressions. From initial planning to flawless execution, you’ll coordinate all aspects of events, ensuring every detail aligns with client expectations and brand standards. Duties

Coordinate and support the planning, organization, and execution of weddings, corporate events, and private functions.
Meet with clients to discuss event requirements, timelines, venue layouts, and service expectations.
Coordinate with vendors, suppliers, decorators, caterers, entertainers, and other service providers to ensure timely event delivery.
Prepare event schedules, setup plans, and logistics checklists to ensure smooth operations.
Oversee venue setup and teardown, ensuring tables, chairs, décor, audio-visual equipment, and event materials are arranged according to client specifications.
Monitor event operations and resolve any logistical or customer service issues during events.
Communicate with clients, vendors, and internal staff before, during, and after events to ensure successful execution.
Maintain event documentation, contracts, schedules, invoices, and administrative records.
Assist in preparing event proposals, quotations, and client follow-ups.
Ensure compliance with workplace health and safety policies and venue operating procedures.
Support inventory management and coordinate the availability of event equipment and supplies.
Collaborate with team members to deliver exceptional customer service and ensure client satisfaction.

Skills

Strong background in marketing strategies to effectively promote events and increase engagement
Excellent guest services skills with a focus on hospitality excellence and customer satisfaction
Proven ability in upselling additional services or upgrades to enhance event experiences
Skilled in negotiation to secure favorable deals with vendors and venues
Exceptional communication skills for clear coordination with clients, team members, and external partners
Outstanding organizational skills to manage multiple events simultaneously with attention to detail
Experience in restaurant or hotel environments is highly desirable for understanding hospitality operations
Effective time management skills to meet tight deadlines and handle last-minute changes confidently
Budgeting expertise to plan financially sound events without compromising quality
