Job Overview

We are seeking a dynamic and organized Secretary/Receptionist to be the welcoming face and administrative backbone of our office. This energetic role involves managing front desk operations, providing exceptional customer service, and supporting daily administrative functions. The ideal candidate will be proactive, detail-oriented, and possess strong communication skills to ensure smooth office operations and a positive experience for visitors and team members alike. This paid position offers an exciting opportunity to contribute to a professional environment while honing your clerical and organizational skills.

Responsibilities

Greet visitors warmly, answer multi-line phone systems, and direct calls efficiently using professional phone etiquette
Manage front desk activities including scheduling appointments, handling mail, and maintaining visitor logs
Perform data entry tasks accurately using Microsoft Office, Google Workspace, and other office software
Maintain organized filing systems—both physical and electronic—to ensure quick retrieval of documents
Support bookkeeping and basic financial tasks using QuickBooks or similar accounting software
Assist with clerical duties such as proofreading correspondence, managing calendars, and preparing reports
Provide excellent customer support by addressing inquiries promptly and professionally, whether in person or via phone or email

Requirements

Proven office experience with strong organizational skills and attention to detail
Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and basic computer skills
Experience with multi-line phone systems and front desk operations
Familiarity with data entry, filing systems, and clerical procedures
Customer service experience with excellent communication skills and phone etiquette
Previous medical or dental office experience is a plus, including knowledge of medical/dental reception procedures
Ability to perform typing tasks efficiently while maintaining accuracy; proofreading skills are desirable
Knowledge of QuickBooks or bookkeeping experience is advantageous
Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment
