Job Summary
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to our executive team. The ideal candidate will possess excellent communication skills, strong attention to detail, and the ability to manage multiple tasks efficiently. This role offers an opportunity to work in a dynamic environment where professionalism and discretion are paramount. The Executive Assistant will play a key role in ensuring smooth daily operations and facilitating effective communication across departments.

Duties

Manage and maintain executive calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements.
Prepare, proofread, and distribute correspondence, reports, and presentations with a high level of accuracy.
Handle incoming calls via multi-line phone systems with professional phone etiquette; direct inquiries appropriately.
Perform data entry, filing, and document management using Microsoft Office Suite and DocuSign for electronic signatures.
Provide front desk support including greeting visitors, managing office supplies, and maintaining a professional office environment.
Coordinate meetings by preparing agendas, taking minutes, and following up on action items.
Support administrative projects as needed to ensure organizational efficiency.

Qualifications

Proven experience in an office or administrative role with clerical or office experience preferred.
Proficiency in Microsoft Office (Word, Excel, PowerPoint), Microsoft Outlook Calendar, Google Workspace, and familiarity with multi-line phone systems.
Experience with QuickBooks, bookkeeping, data entry, proofreading, and filing is highly desirable.
Strong organizational skills with the ability to prioritize tasks effectively.
Excellent written and verbal communication skills along with professional phone etiquette.
Ability to work independently with minimal supervision while maintaining attention to detail.
Prior experience in customer service or front desk roles is a plus.
Demonstrated ability to handle confidential information discreetly and professionally.
