Overview

We are seeking a dedicated and organized Church Secretary to serve as the administrative backbone of our church community. This vital role involves managing daily office operations, coordinating communication, and supporting church staff and congregation members with professionalism and warmth. The ideal candidate will bring strong organizational skills, excellent communication abilities, and proficiency with various office technologies to ensure smooth and efficient church functions. This paid position offers an opportunity to contribute meaningfully to our faith community while developing valuable administrative experience.

Responsibilities

Serve as the first point of contact for visitors and callers, providing friendly and professional customer service via multi-line phone systems and in person
Manage all clerical tasks including data entry, filing, record keeping, and maintaining church databases using tools, Microsoft Office, and Google Workspace
Schedule appointments, meetings, and church events while coordinating calendars for staff and congregation members
Handle correspondence through emails, phone calls, and written communication with accuracy and attention to detail
Support administrative functions such as proofreading documents, preparing reports, and managing front desk operations in a busy office environment
Assist with special projects related to church activities, outreach programs, or community events as needed

Requirements

Proven clerical experience with strong organizational skills and attention to detail
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Experience with data entry, filing systems, and managing multi-line phone systems
Familiarity with QuickBooks or similar bookkeeping software is preferred
Excellent phone etiquette combined with strong customer service skills to support visitors and congregation members effectively
Ability to perform typing tasks efficiently while maintaining accuracy; proofreading skills are a plus
Strong computer skills with the ability to adapt quickly to new software or office technologies
Demonstrated organizational skills with the ability to prioritize tasks in a fast-paced environment
