Service Dispatcher & Receptionist

Red Sands Group is seeking a highly organized, customer-focused Service Dispatcher & Receptionist to join our growing team at our Charlottetown headquarters.
This position serves as the first point of contact for many of our clients and plays a critical role in the day-to-day coordination of our Plumbing & Electrical division. The successful candidate will be responsible for scheduling service calls, assisting customers, directing office traffic, and ensuring our front office operates efficiently.
This is a fast-paced role that requires exceptional multitasking skills, strong communication abilities, outstanding customer service skills, and a commitment to keeping operations running smoothly. The successful candidate must be comfortable working with technology and managing multiple software platforms throughout the day.
Key Responsibilities
- Answer incoming calls from customers and assist with inquiries
- Act as the primary receptionist and front desk representative for the company
- Welcome visitors and direct clients, contractors, suppliers, and staff to the appropriate team members
- Schedule and dispatch service plumbers and electricians
- Coordinate daily service appointments and manage changing schedules throughout the day
- Gather information from customers and help diagnose plumbing and electrical issues over the phone
- Provide exceptional customer service and ensure all client concerns are addressed promptly and professionally
- Ensure technicians arrive to jobs on time and maintain communication regarding schedule changes and job progress
- Monitor incoming work requests and ensure jobs are assigned appropriately
- Review and maintain accurate job notes and customer records within company software systems
- Ensure technicians are properly documenting work completed on every job
- Verify that invoices, receipts, material purchases, and expenses are uploaded and attached to the appropriate work orders
- Ensure all required documentation is entered accurately and completely before jobs are closed
- Monitor open work orders and follow up with technicians to ensure jobs move through the system efficiently
- Help identify scheduling conflicts, operational bottlenecks, and service issues before they become customer problems
- Order and maintain office supplies and inventory
- Ensure the office remains stocked with necessary supplies at all times
- Assist with administrative tasks including data entry, filing, email correspondence, and document management
Qualifications
- Previous experience in dispatching, customer service, administration, reception, or a similar role
- Experience working in a service-based or trades environment is considered a major asset
- Previous dispatching experience for plumbers, electricians, HVAC technicians, construction companies, or other skilled trades is strongly preferred
- Understanding of how service-based businesses operate, including work orders, scheduling, invoicing, and technician dispatching
- Exceptional organizational skills and attention to detail
- Ability to manage a high volume of information, appointments, and customer requests without sacrificing accuracy
- Strong time management and prioritization skills
- Excellent verbal and written communication skills
- Outstanding customer service skills and a professional demeanor
- Ability to remain calm and organized in a fast-paced environment
- Highly proficient with technology and comfortable learning new software platforms
- Comfortable working with multiple scheduling, dispatching, CRM, and communication systems simultaneously
- Strong computer skills including email, calendars, spreadsheets, and cloud-based software
- Experience using scheduling, dispatching, or service management software is considered a strong asset
- Basic understanding of plumbing and electrical systems is preferred
- Strong attention to detail with the ability to ensure documentation, job notes, receipts, invoices, and expenses are properly recorded and filed
