You as a Hoist Coordinator will:
- Coordinate hoist projects, including installations, jumps, dismantles, scaffolding, trucking, and inspections.
- Maintain hoist schedules, calendars, location tracking, and rough timelines using spreadsheets and internal systems.
- Communicate with construction sites to confirm schedules, site readiness, and project timelines.
- Prepare and distribute schedules, timelines, Safe Work Procedures (SWPs), and job documentation to sites and crews.
- Coordinate daily communication with field crews regarding work assignments, scheduling changes, overtime requirements, and operational updates.
- Coordinate and arrange travel and accommodation logistics for hoist technicians as required.
- Coordinate daily and upcoming shop manpower requirements and liaise with the Shop Foreman on next-day duties.
- Prepare, distribute, and file picklists for hoist and scaffold crews.
- Schedule inspections and coordinate third-party services, including NDT inspections.
- Maintain hoist logbooks and manage TSSA documentation, including drawings, tags, licenses, inspection reports, and certificates.
- Organize and maintain hoist project folders within SharePoint/O Drive.
- Coordinate scaffolding activities and maintain communication with scaffold teams.
- Manage trucking logistics, including internal and external scheduling, purchase orders, Bills of Lading, and invoice processing.
- Issue mobile equipment purchase orders and process mobile and trucking invoices.
- Track extra materials remaining on site and arrange retrieval as required.
- Support hoist rental contracts, billing documentation, inventory tracking, and work order completion.
- Enter, update, and maintain accurate data using Excel and company systems.
- Collect, review, and file timesheets related to hoist operations.
Is this the right role for you?
- Two to four years of coordinating experience, preferably in construction, equipment rental, or industrial services.
- Strong organizational, scheduling, and multitasking skills.
- Excellent verbal and written communication skills with a professional demeanor.
- Outgoing, confident, and relationship-focused personality with the ability to build rapport and communicate effectively with site personnel, crews, vendors, and internal teams.
- High attention to detail and strong documentation skills.
- Proficiency in Excel and familiarity with shared drives, calendars, and operational systems.
- A diploma or post-secondary education in Administration, Operations, Construction Management, Project Coordination, or a related field would be an asset.
- Ability to work full time in office located in Mississauga, ON.
The salary range for this job is $60,000-$70,000
