The Opportunity
Procom is looking for a detail-driven, client-focused professional to join our team as a Client Services Coordinator. This role is a launch pad: you'll build a foundation for long-term career growth inside a growing, entrepreneurial IT staffing firm, while working shoulder-to-shoulder with a collaborative Client Services team that keeps our clients and consultants moving forward.

The Role
Reporting to the Team Lead, the Client Services Coordinator owns the full on-boarding and Contractor Management lifecycle for contractors on assignment with one or more clients, resolving day-to-day issues with speed, accuracy, and care.
What You'll Do
- Create and maintain an Excel tracking system for all new pre-identified candidates and active consultants
- Submit and manage all contract management inquiries through JIRA
- Provide hands-on support to consultants using Vendor Management Systems (SAP Fieldglass, Beeline)
- Act as a liaison between Legal and Human Resources on contract issues and reviews
- Serve as a subject matter expert for clients and consultants on legal status classifications
- Schedule and manage consultant communications regarding payment processing and timesheet deadlines
- Manage the client and consultant onboarding and renewal process in compliance with internal policy and ISO management standards
- Co-create new strategies with the team to continuously smooth the consultant and client experience
- Serve as a primary point of contact to investigate and resolve consultant, client, and vendor inquiries — including difficult or sensitive conversations
- Assist external managers in determining total billable rates for new pre-identified candidates
- Complete candidate submissions and finalize onboarding activities within VMS portals, on tight, non-negotiable deadlines
- Conduct quarterly audits on consultant documentation and onboarding requirements
- Monitor expiring contracts and provide advance notice for a smooth off-boarding experience
- Investigate accounts receivable discrepancies and follow up proactively with clients or contractors
- Serve as a primary point of contact for consultant, sub-vendor, and client billing and invoicing questions
- Create credit/debit memos to balance records within Fieldglass
What You Bring
- Minimum 2 years of professional experience in a customer service or administrative support role
- Advanced Excel skills — comfortable building and maintaining tracking systems, formulas, and reporting from scratch
- Sharp attention to detail; nothing slips through the cracks on your desk
- Proven ability to navigate difficult client conversations with professionalism, empathy, and Do the Right Thing judgment
- Excellent follow-up and communication skills — clients and consultants always know where things stand
- A track record of hitting daily and monthly targets in a fast-paced, deadline-driven environment
- Demonstrated ability to adhere to tight deadlines without sacrificing accuracy
- Working knowledge of contract and payroll administration procedures, tax regulations, and invoicing processes
- Proficiency with MS Office 365, particularly Outlook, Teams, and SharePoint
- Ability to stay calm under pressure across all levels of internal and external stakeholders
- Strong commitment to excellent customer service
- Ability to prioritize workflow and consistently meet deadlines
- Ability to handle confidential and proprietary information with discretion
