Full job description

Balanced Hair Extensions is seeking a highly organized, reliable and proactive Executive & Personal Operations Assistant to support the founder across both business and household responsibilities.

This is not a traditional desk-only executive assistant role. The purpose of this position is to remove administrative, operational and personal responsibilities from the founder’s plate so she can focus on revenue generation, leadership, professional licensing and the long-term development of a specialized hair school.

The right person will be comfortable moving between calendar management, client administration, team follow-up, cleaning, errands and occasional family-related responsibilities. Some days will be structured; other days will require flexibility and good judgment.

Core responsibilitiesExecutive and business support

Organize and protect the founder’s calendar
Prepare daily and weekly priority lists
Coordinate meetings, appointments and reminders
Reduce unnecessary interruptions by collecting and organizing team questions
Prepare meeting agendas and document decisions, deadlines and assigned tasks
Maintain the team task-management system
Follow up with staff and contractors on overdue work
Track whether assigned projects have been completed
Coordinate communication between the founder, financial administrator, marketing team and virtual assistant
Organize digital files, documents and internal records
Assist with basic Shopify, administrative and operational tasks when required

Client administration

Assist with appointment confirmations and rebooking
Follow up on missing intake forms, contracts, deposits and client documents
Prepare invoices using approved pricing and information
Coordinate with the financial administrator regarding payments and outstanding balances
Maintain client follow-up lists
Help ensure prepaid-program clients are properly scheduled and tracked
Support client onboarding and program administration
Escalate sensitive client situations rather than attempting to resolve them independently

Business and salon operations

Help maintain an organized, professional and client-ready salon
Complete or coordinate cleaning and closing checklists
Assist with laundry, restocking and general organization
Run business errands, pickups and deliveries
Monitor supplies and notify the appropriate person when products need to be reordered
Help ensure workspaces, storage areas and common areas remain functional and presentable
Identify operational problems before they become emergencies

Personal and household support

This role will also include personal-assistance responsibilities intended to free up the founder’s time outside the business.

Responsibilities may include:

Helping with school drop-offs or pickups for the founder’s children
Running personal and household errands
Grocery or supply pickups
Light household cleaning and organization
Laundry and basic housework
Scheduling personal or family appointments
Helping coordinate family logistics
Completing miscellaneous personal tasks as assigned
Supporting the founder with day-to-day responsibilities that would otherwise interfere with business leadership and focused work

Child transportation will only be assigned to a candidate who has a valid driver’s license, a safe driving record, appropriate insurance and a reliable vehicle.

Pay: From $17.00 per hour
