Overview

We are seeking a dynamic and organized Bilingual Office and Operations Coordinator to join our team! This energetic role is vital in ensuring the smooth functioning of daily office activities, streamlining operations, and supporting team management. As the backbone of our administrative and operational efforts, you will play a key role in fostering an efficient, welcoming, and well-organized work environment. Your proactive approach and excellent communication skills will help drive our mission forward while maintaining high standards of office management.

The successful candidate must be able to communicate professionally in both English and French with employees, prospective students, community partners, service providers and members of the public.

Key Responsibilities

Coordinate the setup and organization of the office and training areas.
Serve as the primary day-to-day contact between staff and the Directors.
Communicate with employees, prospective students, community partners and service providers in English and French.
Assist with translating or reviewing routine communications and administrative materials in both official languages.
Coordinate onboarding schedules for newly hired employees.
Ensure employees complete required onboarding forms, orientation activities and assigned training.
Organize staff meetings and prepare meeting notes and action lists.
Monitor assigned staff tasks and follow up on outstanding requirements.
Maintain organized electronic and physical filing systems.
Help organize policies, operational documents and inspection-readiness materials.
Maintain an inventory of office, classroom and training equipment.
Coordinate approved vendors and service providers as directed.
Assist with scheduling meetings, staff training, appointments and facility visits.
Track approved purchases, expenses and receipts.
Submit weekly progress reports outlining completed work, outstanding tasks, concerns and upcoming priorities.
Promptly report staffing, facility, safety, privacy or operational concerns to the Director.
Maintain confidentiality when handling employee, operational and regulatory information.

Qualifications

Fluency in both spoken and written English and French is required.
Diploma or certificate in office administration, business administration or a related field is preferred.
At least two years of experience in office administration, operations coordination or a similar position.
Previous experience coordinating employees or supporting staff onboarding is preferred.
Experience working in a school, healthcare organization, regulated business or start-up environment is an asset.
Strong organizational, time-management and follow-up skills.
Strong professional communication and customer-service skills in both official languages.
Proficiency with Microsoft 365, including Outlook, Word, Excel, Teams and SharePoint.
Ability to work independently with an off-site supervisor.
Ability to manage changing priorities and meet deadlines.
High level of integrity, reliability and professional judgment.
Ability to maintain confidential information.
Must be able to work on-site in Moncton.
A satisfactory criminal record check may be required.

The Ideal Candidate

You are someone who:

Communicates confidently and professionally in English and French.
2 to 4 years of experience in office administration, project coordination, or operational management (experience in educational or corporate setup environments is a strong asset).
Comfortable utilizing modern cloud-based productivity tools (Microsoft Teams, SharePoint, shared spreadsheets, and digital communication platforms).
Proven ability to work independently with minimal daily direct supervision, demonstrating high accountability.
Is dependable, proactive and detail-oriented.
Can organize an office with limited day-to-day supervision.
Communicates concerns early and provides clear updates.
Is comfortable coordinating staff respectfully and professionally.
Follows established policies and approval procedures.
Understands the difference between taking initiative and making unauthorized decisions.
Enjoys helping build organized systems in a new and growing organization.
