Full job description

Transport Bourassa, une entreprise en pleine expansion, est à la recherche d’une adjointe afin de soutenir l’adjointe de direction dans ses fonctions quotidiennes. La personne titulaire du poste aura un rôle clé de soutien administratif au sein d’une équipe où la collaboration et la précision sont essentielles.

PROFIL RECHERCHÉ

Excellente maîtrise du français, tant à l’oral qu’à l’écrit;
Bonne maîtrise de l’anglais (niveau intermédiaire ou avancé), afin de communiquer avec divers intervenants;
La connaissance de l’espagnol constitue un atout;
Excellente maîtrise de la suite Microsoft Office (Word, Excel, Outlook);
Haut niveau de discrétion, professionnalisme et sens de la confidentialité;
Capacité à suivre des procédures établies et à travailler sous supervision
Excellent service à la clientèle et souci du détail;
Bonne gestion des priorités et respect des directives de travail.

PRINCIPALES RESPONSABILITÉS

Fournir un soutien administratif à l’adjointe de direction;
Effectuer le suivi des dossiers, incluant la gestion des échéanciers et des rappels;
Assurer la mise à jour, la gestion et le classement des documents administratifs;
Effectuer la saisie et la mise à jour de données dans les systèmes internes;
Répondre aux appels téléphoniques et aux courriels, et assurer un service professionnel;
Assurer le remplacement de la réceptionniste lors de ses absences;
Collaborer avec les différents départements afin d’assurer la fluidité des opérations administratives;
Effectuer les tâches administratives demandées en collaboration étroite avec l’adjointe de direction, laquelle demeure responsable de la coordination et de la validation des dossiers
Travailler en étroite collaboration avec l’adjointe de direction afin d’assurer une uniformité et une conformité dans le traitement des dossiers administratifs
Effectuer toute autre tâche administrative connexe.

Transport Bourassa, a fast-growing company, is currently seeking an Administrative Assistant to support the Executive Assistant in daily operations. The successful candidate will play a key administrative support role within a team where collaboration and accuracy are essential.

SCHEDULE

Permanent full-time position;
Monday to Friday, from 8:00 a.m. to 5:00 p.m.

PROFILE WE ARE LOOKING FOR

Excellent command of French, both spoken and written;
Good command of English (intermediate or advanced level) to communicate with various stakeholders;
Knowledge of Spanish is considered an asset;
Excellent knowledge of Microsoft Office Suite (Word, Excel, Outlook);
High level of discretion, professionalism, and confidentiality;
Ability to follow established procedures and work under supervision;
Excellent customer service skills and attention to detail;
Strong organizational skills and ability to manage priorities while following work instructions.

MAIN RESPONSIBILITIES

Provide administrative support to the Executive Assistant;
Follow up on files, including managing deadlines and reminders;
Ensure the updating, management, and filing of administrative documents;
Perform data entry and update information in internal systems;
Answer phone calls and emails while providing professional customer service;
Replace the receptionist during absences;
Collaborate with different departments to ensure smooth administrative operations;
Perform administrative tasks requested in close collaboration with the Executive Assistant, who remains responsible for coordinating and validating files;
Work closely with the Executive Assistant to ensure consistency and compliance in the processing of administrative files;
Perform any other related administrative duties.
