Full job description

Overview
We are seeking a dynamic and friendly Front Desk Agent to be the welcoming face of our organization. In this vital role, you will serve as the first point of contact for visitors, clients, and team members, ensuring a smooth and professional experience from the moment they arrive. Your energetic approach and excellent organizational skills will help maintain efficient office operations, manage multi-line phone systems, and support administrative functions with enthusiasm and precision. Responsibilities

Greet visitors warmly, verify appointments, and direct them appropriately to ensure a positive first impression.
Manage multi-line phone systems with professionalism, answering inquiries promptly and routing calls efficiently.
Handle incoming and outgoing correspondence, including emails, mailings, and deliveries with accuracy.
Provide exceptional customer service by addressing inquiries courteously and supporting client support efforts across various departments.
Provides customer service and handles administrative duties such as the check-in and check-out of guests, handling guest concerns, assisting with the arrivals and departures of groups and tours and luggage storage
Follows established procedures and policies when completing tasks
Receives, sorts and distributes incoming mail
Prepares and sends courier packages and ensures accurate billing and records
Orders office supplies and maintains inventory levels
Acts as an Ambassador for Coast, including greeting guests and handling basic inquiries
Demonstrates a customer service attitude with internal/external contacts
Provides basic data entry and transaction handling service for the Front Office
Inputs data accurately into the appropriate database
Produces statistics and reports on the data as per standard formats
Reports discrepancies in room rates, payment information and credit arrangements to appropriate manager for follow up
Verifies the accuracy of their daily inputs, including payment transactions, and submits their daily shift audit for review by the night audit

Handles cash, cheques, credit and debit card transactions in accordance with hotel policies

Other duties as required

Qualifications

Proven experience in office management or administrative roles with strong clerical skills.
Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications.
Prior experience with multi-line phone systems and phone etiquette is essential.
Bilingual abilities are highly desirable to serve diverse client needs effectively.
Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
Experience in customer service or customer support roles demonstrating professionalism and effective communication.
Knowledge of data entry, filing procedures, proofreading, and basic bookkeeping (preferably with QuickBooks).
Personal assistant or medical/dental receptionist experience is a plus for understanding specialized workflows.
