Philanthropy & Community Engagement Coordinator
Organization Overview :Based in Nanaimo with facilities in Nanaimo and Port Hardy, Loaves and Fishes Community Food Bank is a rapidly growing, well respected entrepreneurially driven nonprofit with operations across the BC Coast. From Victoria to Haida Gwai, Loaves and Fishes is making food available to people in need.
Purpose and Summary of the Role : Reporting to the Director of Philanthropy & Revenue Generation, the Philanthropy & Community Engagement Coordinator plays a key support role in advancing Loaves & Fishes’ fundraising, donor stewardship, and community engagement efforts. This position provides day-to-day coordination support for donor relations, fundraising, communications, volunteers, and administrative activities related to philanthropy and volunteering. The Coordinator supports donor stewardship, manages inquiries, assists with fundraising campaigns, and helps ensure a positive, professional experience for donors, partners, volunteers and community supporters.
Supervision: Is responsible to the Director of Philanthropy & Revenue Generation.

Key Responsibilities
Donor & Stewardship Support
- Support donor stewardship activities including acknowledgements, follow-ups, and relationship tracking
- Prepare donor correspondence including thank-you letters, emails, newsletters and impact updates
- Maintain accurate donor records including Tax Receipting and database management.
- Prepare and manage donor mailings, including mail merges and list management
- Support donor recognition and stewardship initiatives
Fundraising & Third-Party Events
- Serve as a point of contact for third-party fundraisers and community-led initiatives
- Assist with coordination of fundraising campaigns and events
- Track donations and campaign activity
- Support preparation of fundraising materials and follow-up communications
- Assist with event logistics and post-event reporting
Communications & Digital Support
- Update website content related to fundraising and donor engagement
- Assist with content creation using Canva and other digital tools
- Support email communications and online fundraising efforts
- Assist with basic graphic design and content formatting
- Support the use of emerging technology and AI tools
Administrative & Operational Support
- Respond to donor and public inquiries in a professional and timely manner
- Maintain organized digital records and spreadsheets
- Assist with reporting and tracking of fundraising activity
- Support internal documentation and filing systems
- Assist with general office and administrative duties
Team & Organizational Support
- Work collaboratively with staff and volunteers
- Participate in meetings and planning sessions
- Contribute to a respectful, inclusive workplace culture

- Other duties as reasonably assigned from time to time
Qualifications & Experience
- Post-secondary education or equivalent experience preferred
. Strong organizational and time-management skills
- Proficiency with Microsoft Office, Canva, CRM and digital tools
- Experience with mail merges and spreadsheets
- Strong written communication skills
- Comfortable learning emerging technologies
- Excellent interpersonal skills
- Neat handwriting for donor correspondence
Review
A trial period review will take place with the Director of Philanthropy and Revenue Generation within 3 months of starting the position. An annual review will take place in February of each year.
Terms: Permanent, Full Time, 40 Hours per week. Hours: 40 Hours per week (flexibility within regular working hours).
Compensation: The salary range for this position is $23.00–$26.00 per hour, commensurate with experience and qualifications. Placement within the range will be determined based on relevant skills, experience, and internal equity considerations.
