About Us
NewGen Cleaning Services is a growing commercial cleaning company providing janitorial and facility support services across Canada and the United States. We are currently seeking a highly organized and reliable Operations Support Specialist to support our janitorial operations at Vancouver Island University (VIU) in Nanaimo, BC.
This position is ideal for someone who enjoys administration, operations coordination, and working in a fast-paced environment while supporting both management and frontline staff.
Key Responsibilities
Manage and organize operational paperwork and documentation
Monitor daily activities and reports through the Lighthouse App
Coordinate schedules and communication with supervisors and cleaners
Assist management with employee hiring, onboarding, and termination processes
Maintain inventory of cleaning supplies, consumables, and equipment
Ensure all safety documentation and forms are properly completed and filed
Maintain employee records and HR-related forms
Coordinate and communicate with the client regarding operational matters
Assist with incident reporting, inspections, and quality control tracking
Support daily operations to ensure smooth workflow and service delivery
Perform other administrative and operational duties as required
Qualifications
Previous experience in administration, operations support, or janitorial management preferred
Strong organizational and multitasking skills
Excellent communication and problem-solving abilities
Ability to work independently and handle confidential information professionally
Comfortable using mobile apps, computers, and Microsoft Office programs
Experience with scheduling, inventory management, or staff coordination is an asset
Knowledge of workplace safety documentation and procedures is an asset
