Full job description

DTech Services and Solutions Inc. is a growing HVAC company serving Ottawa and surrounding communities. We are looking for a smart, organized, and customer-focused Office Coordinator to support our daily operations, customer communication, CRM, sales follow-ups, and office workflow.

This is not a basic receptionist role. The ideal candidate should be comfortable multitasking, learning quickly, communicating professionally with customers, and helping keep the office organized as the company grows.

Responsibilities

Oversee daily office administration and ensure smooth office operations
Answer and make customer calls to schedule, confirm, and follow up on service appointments
Communicate professionally with customers, suppliers, technicians, and management
Manage CRM software and maintain accurate customer and job records
Follow up on leads, estimates, customer inquiries, and online requests
Assist with social media activities, Facebook community posts, Google reviews, and basic digital marketing initiatives
Support rebate applications and customer documentation as required
Assist with accounts payable, bookkeeping support, invoice tracking, and general administrative tasks
Coordinate with suppliers regarding orders, deliveries, and inventory requirements
Maintain organized records, files, and company documentation
Support scheduling, dispatch, and technician coordination as needed
Assist with special projects and business growth initiatives
Perform other administrative duties as required

Experience and Qualifications

Previous experience in office administration, customer service, sales support, or coordination roles
Experience in HVAC, construction, trades, or service-based businesses is considered an asset
Strong customer service and phone communication skills
Experience with CRM software (Housecall Pro, Jobber, ServiceTitan, or similar) is an asset
Familiarity with social media platforms such as Facebook and Instagram, and basic marketing
Basic bookkeeping or accounts payable experience is considered an asset
Strong organizational and multitasking abilities
Proficiency with Microsoft Office, Google Workspace, QuickBooks, or similar software
Ability to work independently, prioritize tasks, and manage multiple responsibilities
Professional attitude with strong attention to detail
Fluent English communication skills, both written and verbal (required)
Bilingual (English/French) candidates are strongly encouraged to apply

Compensation

$22.00–$28.00 per hour based on experience and qualifications

Schedule

Monday to Friday
Minimum 3 days per week in office
