Full job description

Location: On-site (Halifax, Nova Scotia)

MTLI Group is seeking a highly organized, motivated, and detail-oriented Project Administrative Assistant to join our team on a full-time contract basis. This position is fully on-site and will play a key role in supporting our Project Managers with the day-to-day administrative operations of an active construction project.

The successful candidate will be responsible for ensuring project documentation is accurate, organized, and completed on time while providing administrative support that helps keep the project running efficiently. This is an excellent opportunity for someone who enjoys working in a fast-paced environment, takes initiative, and thrives in a team-oriented setting.

Key Responsibilities

Track and maintain daily employee hours and attendance records with accuracy.
Assist with daily and weekly inventory counts and maintain organized inventory documentation.
Complete and organize all required project documentation before and after each shift.
Ensure paperwork is completed accurately, submitted on time, and filed appropriately.
Maintain organized digital and physical project records.
Support Project Managers with a variety of administrative tasks and project coordination activities.
Assist with data entry, spreadsheets, reports, and document management.
Coordinate and follow up on project-related paperwork as required.
Communicate professionally with site personnel and management to ensure administrative tasks are completed efficiently.
Help maintain an organized project office and support the overall day-to-day operations of the site.

Qualifications

Previous experience in an administrative, project coordination, or office support role is considered an asset.
Strong organizational and time management skills.
Excellent attention to detail and accuracy.
Proficiency with Microsoft Office (Excel, Outlook, Word, and Teams).
Ability to prioritize multiple tasks in a fast-paced environment.
Strong communication and interpersonal skills.
Self-motivated, dependable, and able to work independently while collaborating with the project team.
Experience in construction, industrial, or project environments is an asset but not required.

Pay: $18.00-$20.00 per hour
