Accounting Supervisor

Duties and Responsibilities

Reporting to the CFO, the Accounting Supervisor is responsible for overseeing day-to-day accounting operations, including accounts receivable, accounts payable, and related financial and administrative processes. This role provides guidance, training, and workflow oversight to team members to ensure transactions are processed accurately, on time, and in compliance with established procedures. The Accounting Supervisor also maintains accurate financial records and supports month-end close, audits, reporting, reconciliations, and process improvement initiatives.

Accounts Management

· Supervise and lead the daily workflow for accounts payable and accounts receivable, assigning and monitoring work to ensure service levels and deadlines are met.

· Review and approve daily accounting transactions for accuracy, completeness, coding, and compliance with internal policies and approval requirements.

· Enter, review, and prepare accounts payable, accounts receivable, and invoices, while resolving escalated issues and exceptions.

· Process vendor payments (cheque/EFT) and maintain accurate vendor files, terms, and contact information.

· Prepare and issue customer invoices and statements; track collections and follow up on overdue accounts.

· Support onboarding and training of team members, promote consistent procedures, and identify opportunities to improve accounting processes and controls.

Financial Reporting

· Ensure timely and accurate preparation of monthly, quarterly, and year-end close entries.

· Prepare and post journal entries (accruals, prepaids, allocations) and supporting schedules.

· Review team output for accuracy and completeness, ensuring organized documentation and audit-ready records.

· Assist with internal reporting by compiling data, investigating variances, and highlighting trends.

· Monitor key deadlines and support continuous improvement of reporting processes, procedures, and internal controls.

Reconciliations

· Oversee bank and credit card reconciliations, ensuring the integrity of open items and account balances.

· Investigate and resolve variances, missing transactions, and outstanding items in a timely manner, including escalated issues.

· Reconcile subledgers (AR/AP) to the general ledger and review reconciliations prepared by team members as assigned.

· Maintain reconciliation support and ensure appropriate approvals, documentation, and follow-up actions are retained and completed.

Audit Support

· Coordinate and assist the annual audit process for accounting including but not limited to AR/AP-related items by conducting financial investigations and preparing necessary reports.

· Compile audit schedules, supporting documents, and reconciliations; respond to auditor requests in a timely manner.

· Support internal controls by ensuring appropriate approvals, documentation, segregation of duties, and adherence to established procedures.

· Maintain organized electronic records to ensure compliance and retention requirements are met and recommend control improvements where needed.

Skills and Qualifications

· Accounting Diploma or Certificate or equivalent with 4-7 years experience preferred.

· Strong experience with accounts payable, accounts receivable, bank reconciliations, and month-end support.

· Demonstrated ability to lead workflow, train staff, and provide day-to-day supervision and guidance in an accounting or finance environment.

· Strong knowledge of accounting software, including QuickBooks and Sage.

· Strong organizational, communication, problem-solving, and process improvement skills with a high degree of accuracy and accountability.

You will have a keen eye for detail and accuracy, along with solid analytical and problem-solving skills, to come up with great solutions. You are organized, adaptable, and can juggle tasks independently or with a team. Strong written and verbal communication skills are essential.
