Job Description

Keep our campus food services balanced, organized, and running smoothly. We’re looking for a detail-driven Administrative Assistant to support our Office Manager at Memorial University. From cash reconciliations, invoicing, and inventory tracking to helping students with meal plans, you’ll be the go-to person keeping our numbers accurate and our main office running seamlessly. If you love a varied role where precision matters, this is the opportunity for you!

Job Responsibilities

Responsible for performing administrative functions including distributing mail, ordering, and stocking supplies, answering phones, and greeting visitors
Assists Office Manager with clerical tasks in relation to accounting, including cash sales and deposits, invoicing/receiving, and/or human resources including filing, data entry, record review and maintenance, etc.
Assists Operations Managers with inventory entries, changes, and reporting
Assists with student meal plan sales, reconciliations and troubleshooting
Greets customers, clients, and employees; answers inquiries or directs calls where necessary
Operate technology, systems, and software such as voicemail systems, copy/scanners, personal computers, and MS Office
Additional administrative duties as assigned

Qualifications

Post-secondary education in Office Administration or related field required
1-2 years’ experience as an Office Administrator Assistant or similar position with primary emphasis on cash sales, deposits, invoicing, and data entry an asset
Strong written and verbal communication skills paired with excellent interpersonal abilities to connect effectively with staff, students, and guests
Strong computer literacy with intermediate proficiency in Microsoft Office Suite, specifically Excel and Word
Strong analytical and problem-solving mindset with a sharp eye for detail and proven organizational skills
Ability to work in a fast-paced environment
Flexibile schedule as some evening and weekend work, from time to time, may be required
Ability to perform desk-based taks for extended periods of time with prolonged screen time under fluorescent lighting
