Job Description:
Reporting to the Managing Director - People, Process & Technology, the Payroll & Workforce Analytics Senior Specialist is responsible for the administration, oversight, continuous improvement, and governance of payroll operations across multiple entities within ADP Workforce Now.
The payroll function includes the administration of three distinct bi-weekly payroll runs, requiring strong prioritization, accuracy, responsiveness, and deadline management.
This role serves as the primary owner of payroll operations, payroll compliance, payroll systems administration, workforce reporting, and payroll-related process improvement initiatives. In addition to payroll responsibilities, the role supports organizational decision-making through workforce analytics, reporting, trend analysis, and operational insights.
This role is ideal for an experienced payroll professional who combines strong payroll expertise with systems thinking, analytical capability, process improvement experience, and a continuous improvement mindset.
Summary Of Responsibilities:
Payroll Operations
- Administer and oversee accurate and timely processing of three separate bi-weekly payroll cycles supporting approximately 410 employees across multiple entities
- Process and review payroll change reports, payroll adjustments, manual timesheets, expense reimbursements, and payroll-related transactions
- Ensure payroll activities are completed accurately and in accordance with organizational policies, collective agreement requirements, and legislative requirements
- Respond to employee and management payroll inquiries and resolve payroll-related issues in a timely manner
- Complete payroll reconciliations and validation activities to ensure payroll accuracy and compliance
- Coordinate payroll-related year-end activities, including T4/T4A preparation, reconciliations, and audit support
- Maintain payroll records, documentation, and controls in accordance with organizational requirements
Payroll Systems, Compliance & Continuous Improvement
- Serve as the primary subject matter expert for ADP Workforce Now and MakeShift payroll integration processes
- Lead payroll systems administration, configuration updates, troubleshooting, and ongoing optimization initiatives
- Develop, maintain, and continuously improve payroll processes, workflows, standard operating procedures, controls, and documentation
- Monitor payroll-related legislative requirements and ensure ongoing compliance with payroll, employment standards, taxation, and reporting obligations
- Identify opportunities to improve payroll efficiency, accuracy, responsiveness, and service delivery
- Support payroll audits, compliance reviews, and implementation of new payroll-related requirements and programs
Workforce Analytics & Reporting
- Develop and maintain workforce reporting, dashboards, scorecards, and analytics to support organizational decision-making
- Prepare and analyze turnover, absenteeism, overtime, vacancy, headcount, and workforce trend reporting
- Identify workforce trends, risks, and opportunities and provide insights and recommendations to leadership
- Support HR and organizational leaders with workforce metrics, reporting requests, and data analysis
- Partner with HR, Finance, and operational leaders to improve workforce reporting capabilities and data quality
- Support workforce planning discussions through meaningful reporting and workforce insights
Collaboration & Leadership
- Act as the payroll subject matter expert and key point of contact for payroll-related matters across the organization
- Partner with HR, Finance, operational leaders, and external vendors to ensure effective payroll administration and reporting
- Support special projects, system enhancements, and organizational initiatives related to payroll, workforce data, and reporting
- Other duties as assigned
Qualifications
- Post-secondary education in payroll, accounting, finance, human resources, or a related field, or an equivalent combination of education and experience
- Minimum 5 years of progressive payroll experience
- Experience processing payroll across multiple entities and/or multiple payroll cycles preferred
- Experience within unionized environments considered an asset
- Strong payroll systems experience required; ADP Workforce Now experience strongly preferred
- PCP certification strongly preferred
- Advanced Microsoft Excel, reporting, and analytics capability including experience working with large datasets, pivot tables, formulas, charts, workforce metrics, and operational reporting
- Demonstrated experience with payroll process improvement, payroll controls, and payroll systems/process optimization
- Strong understanding of payroll legislation, payroll compliance requirements, and payroll operational best practices
- Strong organizational, prioritization, problem-solving, and analytical skills
- Ability to manage sensitive and confidential information with professionalism and discretion
- Strong interpersonal and communication skills with the ability to collaborate effectively across departments and levels of the organization
- Ability to balance transactional payroll responsibilities with reporting, analytics, and process improvement initiatives
Pay: $78,000.00-$92,000.00 per year
