We are seeking a highly organized and detail-oriented Property Management Administrator to join our team. This role provides administrative and operational support across both our residential and commercial portfolios and offers exposure to all aspects of property management, leasing administration, tenant relations, budgeting, and asset management.
Position Summary
The Property Management Administrator plays a key role in supporting the day-to-day administration of our residential and commercial properties. Working closely with the Residential Leasing Coordinator and Property & Asset Manager, this position is ideal for someone who enjoys variety, is highly organized, and is looking to build a long-term career in commercial and residential property management.
Key ResponsibilitiesLease Administration & Tenant Relations
- Update and maintain lease information within Yardi, including new leases, renewals, amendments, and tenant records.
- Draft lease renewals, amendments, and related documentation for review and execution.
- Draft revisions to residential lease documentation to ensure compliance with Residential Tenancy Branch requirements.
- Maintain a library of lease agreements, legal documents, and standardized forms.
- Create and maintain lease summary and synoptic documents for all tenants.
- Track commercial lease expiries and critical dates.
- Communicate with tenants regarding notices, lease requirements, and lease infractions.
- Coordinate parking agreements and maintain accurate parking inventory records.
- Maintain records of ancillary agreements, including parking and storage locker assignments.
- Coordinate communications between leasing brokers and internal teams and ensure proper document processing and filing.
Property Administration
- Track and record commercial insurance information.
- Track and analyze property taxes, assessments, and related obligations.
- Complete property-related tax filings, including Speculation and Vacancy Tax, Empty Homes Tax, and Underused Housing Tax forms.
- Maintain accurate filing systems for active and archived property records.
- Conduct periodic property inspections.
- Coordinate maintenance requests and repairs for tenants.
- Meet with contractors and service providers as required.
- Track tenant compliance with lease obligations and tenant improvement requirements.
- Serve as a liaison between tenants and municipal staff regarding applications, permits, and use changes.
Financial & Reporting Support
- Assist with annual budgeting processes and preparation of budget packages.
- Create tenant rent schedules and supporting documentation.
- Enter budgets into Yardi and maintain budget records.
- Work with Accounts Receivable and Accounting teams to complete commercial and residential reconciliations.
- Assist with processing commercial tenant reconciliations, including non-payment and NSF-related charges.
- Maintain accurate asset and tenant records to support reporting and portfolio management.
Governance & Stakeholder Relations
- Attend strata council meetings and represent the company on strata councils when required.
- Participate in occasional after-hours strata meetings, either virtually or in person.
- Prepare follow-up documentation and coordinate actions arising from strata meetings.
QualificationsRequired
- Minimum 2 years of administrative experience, preferably within property management, real estate, leasing, or a related field.
- Strong organizational skills with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities and deadlines in a fast-paced environment.
- Experience using Yardi or other property management software.
- Proficiency with Microsoft Office Suite, particularly Excel, Word, and Outlook.
- Valid BC Driver's License and access to reliable transportation for property visits.
Preferred
- Knowledge of commercial and residential leasing practices.
- Familiarity with property tax reporting, tenant reconciliations, and property management accounting processes.
- Experience working with strata corporations, contractors, and municipal agencies.
- Working knowledge of British Columbia residential tenancy legislation.
