We are seeking a Front Desk & Office Coordinator to join our team at our Burnaby Head Office. In this role, you will be the first point of contact for visitors, incoming phone calls, and shipping and receiving activities, while helping ensure the office operates smoothly, efficiently, and securely.
Duties & Responsibilities:

Serve as the first point of contact at reception, greeting and directing vendors, suppliers, customers, visitors, and delivery personnel.

Answer, screen, and direct incoming phone calls and emails, including reception and general website inquiries.

Receive, sort, and distribute daily mail and coordinate courier services, deliveries, and occasional business-related drop-offs.

Maintain office security by monitoring visitor access, maintaining logbooks, issuing visitor badges, and supporting record retention requirements.

Maintain filing systems, databases, contact lists, and accounting files, including storage and shredding coordination.

Perform administrative duties such as filing, scanning, photocopying, transcribing, printing support, and preparing correspondence, reports, announcements, and other business documentation.

Ensure the reception area and common spaces are clean, organized, fully stocked, and supported through office supply ordering and inventory management

Coordinate boardroom bookings, meeting scheduling, room setup, catering arrangements, and post-meeting room preparation.

Support company events, staff lunches, charitable initiatives, office moves, seating arrangements, relocations, and other workplace activities.

Assist with office expenditures, invoice records, travel arrangements, expense processing, employee onboarding activities, and general operational support across the business.
Qualifications & Skills:

Minimum 1 year of hands-on experience providing administrative and office support.

Proficiency with Microsoft Office applications, including Outlook and Word. Excellent written and verbal communication skills.

Exceptional interpersonal skills, with the ability to effectively interact with employees, visitors, vendors, and stakeholders at all levels.

Strong organizational skills, with the ability to manage competing priorities and meet deadlines.

Demonstrated attention to detail and a high level of accuracy. Valid BC driver's license and access to a reliable personal vehicle.

This role includes occasional travel for office purchases, event pickups, deliveries, and other business-related errands. Approved mileage will be reimbursed in accordance with company policy.

Flexibility to support occasional events and work outside regular business hours when required.

Willingness to contribute to a collaborative team environment and support multiple stakeholders.

Self-motivated with the ability to work independently in a fast-paced environment, manage multiple priorities, and adapt to changing business needs.
Compensation:
The role is an onsite, permanent, full-time position with a typical starting salary range of $52,000 to $56,000 per annum. Variations in final salary are determined by additional factors such as the candidate's qualifications, relevant years of experience, geographic location, and prevailing market conditions for the specific role.
