Administrative Assistant

Pay Rate: $28.70/hour, depending on experience
Contract Length: 6 Months

Raise is currently hiring a Administrative Assistant on behalf of our client. They’re expanding their team to meet growing needs, making this a unique opportunity to work with an industry leader.

Note: The primary pay rate is based on T4 classification; however, we will also consider applications from candidates interested in an INC classification, where applicable.

Description

The Administrative Professional in this role will deliver high-level administrative support to optimize the capacity of senior management (Director level and above) and their respective teams. This role is instrumental in helping the business group achieve its operational goals by managing complex schedules, coordinating multi-stakeholder events, and handling professional communications while strictly maintaining corporate confidentiality and compliance standards.

Responsibilities

Calendar & Time Management: Allocate the acquiring manager’s time effectively by planning, scheduling, and coordinating daily activities and meetings according to previously set corporate standards.
Event & Stakeholder Coordination: Plan, organize, and execute medium-to-large-scale events and meetings involving multiple internal and external stakeholders.
Professional Communication: Communicate professionally on behalf of the acquiring manager by drafting emails, notes, and meeting agendas, and responding to inquiries from employees and third parties in alignment with Business Communication Guidelines.
Administrative Delivery: Complete assigned tasks utilizing strong office procedures and software skills, providing regular status and progress reports to leadership as required.
Financial & Record Support: Assist the acquiring manager with foundational financial tasks, including processing expense claims and accounts payable documents, reviewing variance reports, performing document/record management, and assisting with the budget development process.
Team Capacity Optimization: Increase the business group's overall capacity by facilitating select administrative tasks for general staff, as aligned and agreed upon with the acquiring manager.
Problem Solving & Advisory: Provide proactive support to the manager, business group, or project team by researching issues, developing options, and taking appropriate action to resolve basic technical or complex administrative challenges.
Confidentiality & Compliance: Maintain strict confidentiality by using appropriate discretion in all communications, data handling, and daily business practices in compliance with Privacy Policy.

Qualifications

(2) years of dedicated office administration experience (or equivalent).
Advanced typing speed and accuracy.
Intermediate to advanced proficiency in MS Word, Outlook, and PowerPoint to manage schedules, build presentations, and format documentation efficiently.
Proven track record of organizing medium-to-large events requiring coordination across multiple stakeholder groups.
Nice-to-Have Qualifications
Previous experience working within a utility environment
Education and Certifications
Post-secondary education in Office Administration or a business-related discipline is highly desirable.
Advanced English skills (both written and spoken) tailored for a high-level professional environment.

Additional Information

Every contractor must supply their own Windows 11 Laptop computer for the duration of the assignment.
Every contractor must supply their own “Smart Phone”. This is needed to gain access to the Organizations network.
