Position Overview
The overall goals of the Director – Property Administration are to enhance the efficiency and effectiveness of operational procedures as it relates to our portfolio of properties. This role provides strategic oversight of core operational functions, streamlining processes, and ensuring the successful integration of technology and learning & development initiatives throughout the organization. Key objectives include managing all aspects of system implementations and ongoing administration (Yardi and other business software needs), overseeing the company’s learning & development program —including the intern program—and supporting cross-functional business operations to promote operational excellence.
Key Responsibilities
Yardi System Management:
- Serve as the single point of contact for Yardi and Yardi consultant projects.
- Oversee Yardi implementations, user setups, property onboarding, and system module deployment.
- Coordinate with department leaders to ensure successful system adoption and utilization.
- Explore new tools and modules that enhance efficiency.
- Prepare and maintain training documentation for Yardi functionalities and best practices.
- Troubleshoot issues and consult with Yardi support as needed.
- Continued maintenance and auditing of Yardi setup to ensure accurate billing.
Learning & Development:
- Coordinate monthly Kipling Academy initiatives, including leading the annual one-day conference, the Kipling Academy Summit.
- Oversee the intern program, including recruitment, onboarding, training, mentorship, department time allocation management, and performance evaluation.
- Interns will report directly to the Director – Property Administration
- Assist with the coordination of training of new employees.
- Continuously assess skills gaps and recommend targeted professional development opportunities.
Business Operations Oversight:
- Develop, implement, and optimize operational policies, processes, and procedures to enhance business efficiency via Kipling “Playbook(s)”
- Assist in defining workflows and roles & responsibilities (Operations vs Accounting).
- Documentation Specialist (if applicable) will report directly to Director – Property Administration
- Collaborate with Operations and Accounting Teams to support reporting, budgeting, forecasting, by tracking deadlines and cross-departmental activities via Monthly Key Dates Calendars.
- Provide support to President & COO, and collaborate with other executive leadership and department heads to align operational strategies to ensure all corporate goals & objectives are achieved.
- Assist transition teams with onboarding & offboarding of properties and provide Yardi (and other systems) support.
- Collaborate with Technology & IT: Support initiatives surrounding the adoption of technology and innovation throughout the organization by assisting in contract negotiations, implementations, and training of various technologies.
Legal/Documentation : Property Management Agreements
- The Paralegal will report directly to the Director – Property Administration
- Provide oversight on:
o Management of PMA database.
o Manage 3rd party lease abstractions.
Additional Responsibilities:
- Continue to play a key role on Employee Engagement Committee, developing and implementing employee events throughout the year
- Lead special projects and strategic initiatives as assigned.
Pay: $85,000.00-$105,000.00 per year
