The OPP Association (OPPA) is a labour organization that works on behalf of all civilian and non-commissioned uniform members of the Ontario Provincial Police (OPP). There are over 6,900 uniform and approximately 3,800 civilian members who belong to the Association.
We are looking to fill the position of Receptionist. This is a full-time permanent role.
This position will report to the Manager, Member Services.
The Receptionist is responsible for connecting OPPA members with the resources and support that they need by responding to incoming calls and emails, greeting visitors, and assisting with administrative tasks.
Qualifications:
- ·High School Diploma
- One to three years’ work experience in a related discipline
- 3-year post-secondary Diploma in Office Administration or a related discipline is preferred
The successful candidate will:
- Greet and sign in visitors; determine the purpose of the visit and, when required, direct visitors to the appropriate OPPA staff members.
- Answer, screen or forward incoming phone calls to the appropriate staff; take messages when necessary and ensure that accurate information is provided when disclosure of information is appropriate.
- Manage the general email account to ensure that consistent information is relayed in a concise, professional, and timely manner.
- Maintain a current record of members’ files and contact information in both electronic and hard copy formats; input information when updates are deemed necessary.
- Ensure that sufficient office supplies are always kept available; place orders as required.
- Assist members to access their accounts on the OPPA member website (training will be provided).
- Prepare packages for distribution to members and business partners (scan, photocopy and compile documents).
- Ensure that courier packages are prepared on time for pickup.
Knowledge:
- Clerical knowledge to ensure that files and documents (both electronic and hardcopy) are well organized and can be quickly retrieved when required.
- Computer literacy for: managing emails, completing administrative tasks using Microsoft Office programs (i.e. Word, Excel and Outlook), inputting information to UnionWare and CMS (Content Management System), storing and retrieving electronically filed information, and assisting OPPA members in accessing online accounts.
- Knowledge of customer and personal service to support OPPA members in a friendly and professional manner.
Skills:
- Active listening skills to identify the needs and concerns of members and ensure that members are provided with the correct resources and/or are directed to the appropriate OPPA staff member for assistance.
- Judgement and decision-making skills to: determine the best method for assisting a member; assess when it is appropriate to disclose requested information.
- Monitoring skills to: assess when it is necessary to place orders for office supplies; ensure that OPPA members with ongoing concerns are not neglected over time.
- Reading comprehension to understand the needs and concerns being expressed by OPPA members in written format (e.g., via email).
- Social perceptiveness to gauge appropriate behaviour in response to the varying circumstances and emotional states of members.
- Time management skills to complete tasks in order of priority and ensure that all tasks of absolute significance are completed on time.
Abilities:
- Deductive reasoning to assess the needs and concerns of members and determine the best avenue for providing assistance, even when those needs and concerns are not directly articulated.
- Near vision required for viewing small print when completing administrative tasks.
- Oral comprehension to understand the needs and concerns expressed verbally by members.
- Written comprehension to understand the needs and concerns expressed by members in writing.
- Oral Expression for addressing the needs and concerns of members, both in person and over the phone.
- Written expression for responding to the needs and concerns of members in writing.\
- Strong attention to detail is required for ensuring that standard office procedures are followed and correct information is communicated consistently to all OPPA members.
- Demonstrated ability to maintain strict confidentiality is essential.

Annual Salary: $54,697 - $65,453
