About the Role

Impressions Group Ottawa is seeking an experienced, highly organized Bookkeeper & Purchasing Coordinator to become the day-to-day financial and purchasing-control hub of our multi-division construction and service business. This is a hands-on operating role for someone who enjoys accurate bookkeeping but also understands that good financial information begins before an invoice reaches QuickBooks.

You will work across bookkeeping, payroll, purchasing, vendor coordination, inventory records, job costing, billing and collections. You will also become a finance/purchasing super-user of our operating systems as we modernize from QuickBooks Desktop toward QuickBooks Online, Dext and improved RB Control Systems workflows. A finance systems advisor will guide the transformation; your role is to make the new system work accurately every day.

What You Will Own

Process accounts payable, accounts receivable, payments, deposits and routine bookkeeping accurately and on time.
Perform bank, credit-card and account reconciliations and maintain complete supporting documentation.
Process payroll, maintain payroll records and support scheduled remittances and required recurring filings.
Create and control purchase orders from approved operational requests and ensure purchases are tied to the correct job, department or inventory location.
Coordinate with vendors on pricing, order confirmations, delivery issues, invoice discrepancies, returns and credits.
Maintain vendor, product, SKU and pricing records and help reconcile system inventory records to department-led physical counts.
Maintain job-cost records and produce actual-versus-budget exception reports; identify missing or mis-coded costs for correction.
Create customer invoices from approved service/construction records, apply payments and maintain a professional collections cadence.
Work closely with Construction, Service, Store, Yard/Shop, Sales and Administration to keep financial source data complete.
Become highly capable in RB Control Systems and the company’s accounting/automation stack, including QuickBooks/QBO and Dext.
Use AI-assisted tools appropriately for research, exception review and workflow improvement while maintaining confidentiality, controls and human verification.
Complete weekly finance/purchasing exception reviews and monthly close checklists so management receives reliable, decision-ready data.

What you will not be expected to do

Act as a full-time Controller or CFO.
Decide technical purchasing requirements for operating departments.
Own physical inventory in the Store, Yard, Shop or field.
Approve spending outside established authority.
Carry unresolved operational problems inside Accounting; the accountable manager owns operational correction.

What we are looking for

Minimum 4 years of hands-on QuickBooks/bookkeeping experience in a Canadian business environment.
Strong AP, AR, reconciliations and payroll experience.
Experience with purchase orders, vendors, job costing, inventory records or a project/service-based business is strongly preferred.
Construction, landscaping, pools, trades, field service or another job-costed industry is a strong asset.
Comfort learning an ERP/CRM/operating system beyond accounting software. RB Control Systems experience is not required, but willingness to master it is.
Strong Excel skills and confidence investigating discrepancies rather than simply processing around them.
High integrity, attention to detail and comfort handling confidential financial and employee information.
Strong follow-through and the confidence to return incomplete transactions for proper information or approval.
Curiosity about automation and AI, paired with good judgment about what still requires human review.

Compensation & work environment

Recommended recruiting range: $30–$33/hour, based on experience and demonstrated capability.
Full-time, primarily in-person at 1148 March Road, Kanata.
Benefits and other employment terms in accordance with the company’s applicable plans and offer letter.
