What we seek:
OCH is currently seeking a dedicated Department Coordinator, Community and Tenant Support, to support and coordinate a broad range of corporate and departmental activities, corporate governance processes, and department projects. Under the guidance of the Vice President, Community and Tenant Support, the Department Coordinator will be a supportive resource and an integral member of the Department in the delivery of these activities.
Department Coordinator, Community and Tenant Support with OCH:
The Department Coordinator supports data-informed decision-making, streamlining processes, and strengthening collaboration, directly advancing OCH’s Strategic Plan. They play a critical role in ensuring efficient operations and aligned, high-quality service delivery that enhances the tenant experience every day.
As a Department Coordinator, some of the things you will do include:
Provide expert administrative and general office support to the Vice President and within the department and the corporation as required
Work as a member of the administrative support team, coordinating activities, supporting initiatives, and developing, improving, and standardizing work processes and reporting tools
Collaborate with other Departmental Coordinators, where relevant, to align calendars, coordinate administrative processes, exchange information, support cross-departmental initiatives, and reduce duplication of work
Maintain files and records in keeping with approved records management practices and OCH policies and procedures
Assist with financial and expense management including invoice and payment processing
Support, coordinate, and participate in departmental, corporate and external meetings, committees, workgroups, initiatives and events as identified
Prepare for and support meetings, reporting, and activities of the Board on a regular schedule and lead related activities for assigned committees of the board
Support the development, design and preparation of reports, documents, forms, procedures, in alignment with corporate formats and standards
Compile and analyze data from multiple sources, prepare reports and undertake formatting and quality assurance reviews
Liaise with and support effective communication and collaboration between departments and external stakeholders
Prepare and review tenant communication material including correspondence, flyers, and notices
Perform work in alignment with OCH vision, mission, values, plans and objectives.
Represent OCH in a professional manner and treats all work-related contacts with respect and courtesy
Work in collaboration with other staff in a team approach to service delivery

What you bring:
Education & Experience:
A typical candidate will have the following qualifications and experience. Exceptional candidates with different qualifications will be considered at the discretion of the employer if demonstrated experience, knowledge, and ability warrant.
Successful completion of a post-secondary program in Office Administration, Public Administration, Business, or related discipline.
A minimum of four (4) years related experience in an office environment with responsibility for progressively more advanced administrative functions, specifically, departmental coordination function.
Experience in trouble shooting, including responding to and resolving complaints in a service position.
Extensive knowledge of office and administrative procedures
Knowledge of records management principles and techniques
Knowledge of AI tools and platforms, including their practical use to support coordination, administrative efficiency, document preparation, and information management.
Knowledge of privacy legislation requirements.
Knowledge of project and time management practices to efficiently administer several projects and address competing priorities
Knowledge of OCH programs, policies and procedures related to area of work.
Understanding of the diverse needs, abilities and social, economic, cultural and other factors present in OCH tenant communities.
Understanding of the values, vision and mission of Ottawa Community Housing and a commitment to support those objectives.
Knowledge and understanding of social services, social housing programs and RGI rent policies.
Knowledge of Word, Excel, PowerPoint, Outlook, database applications and other standard corporate software.
Knowledge of applicable health and safety legislation, including rights and responsibilities of workers and supervisors
Must be familiar with all applicable statutory requirements, policies, procedures and guidelines relevant to area of work.

Skilled at taking minutes and proofreading for editing.

Strong attention to detail allowing for thoroughness and accuracy in accomplishing tasks.
Works in a confidential manner and demonstrates tact and diplomacy when dealing with sensitive issues.
Makes appropriate judgment, can assess potential risk to the corporation, and recognizes when issues should be escalated.
Proficient in the use of information technology such as mobile devices and computer systems in the performance of work.
Oral fluency, reading and writing abilities in English is required
Oral fluency, reading and writing abilities in French is preferred.

Ability to work outside of normal business hours to attend meetings and meet deadlines.
Must possess a valid "G" driver's license or equivalent and may require access to a vehicle for business purposes.
Work conditions:
This is a full-time (35 hours per week) hybrid position with on-site attendance as required.
