Village Green Dental Care is looking for an Orthodontic Coordinator to join our team in Kanata. This is a hybrid front desk role with additional clinical and financial responsibilities.
The Orthodontic Coordinator will collaborate closely with both the front desk and clinical teams, playing a key role in overseeing and closing treatment cases. This individual should be friendly, personable, and confident, with a natural ability to present and promote treatment plans effectively. As a client-facing position, exceptional communication and interpersonal skills are essential. The ideal candidate will be comfortable using technology or eager to learn, including messaging platforms, CRM workflows, and 3D imaging software.

Work Schedule:
- Monday: 7:00 AM - 3:00 PM
- Tuesday: 7:00 AM - 3:00 PM
- Wednesday: 7:00 AM - 3:00 PM
- Thursday: 7:00 AM - 3:00 PM
- Friday: 9:00 AM - 5:00 PM
This is a hybrid role, with four days per week dedicated to a combination of front desk responsibilities and orthodontic coordinator administrative tasks. Fridays are reserved exclusively for orthodontic consultations, which will be conducted both virtually and in person, with in-person consultations held once per month.
What You’ll Do
As an Orthodontic Coordinator, you will play a key role in delivering an exceptional patient experience while supporting both the front desk and clinical teams.
Daily responsibilities include:
Front Desk:
- Administrative tasks
- Answer phones, emails, and text messages
- Check patient in/out
- Send insurance claims
- Take payments from customers
- Check voicemails and follow up on any missed calls
- Schedule patient appointments
- Participate in Daily huddles with Admin team
Orthodontic Coordinator:
- Review all patient correspondence through Orthodontic Portal
- Review all photo submissions and alert Orthodontist to any treatment discrepancies
- Use CRM software to ensure all leads are followed up on in a timely manner
- Order Cases under the direction of the Orthodontist
- Follow up on order tracking to ensure all cases delivered in a timely manner
- Audit schedule for upcoming Ortho appointments to ensure smooth patient flow
Weekly responsibilities include:
Front Desk:
- Participate in Weekly reception meetings with Admin Team
- Participate in Weekly 1:1 call with CTO/Admin Lead to review progress
Orthodontic Coordinator:
- Audit all consultations for required information, including x-rays, smile photos, insurance coverage details, and patient history
- Prepare and present treatment, both virtually and in person, for all consultations and have patients accept proposed treatment
- Finalize payment details, have patient complete contract, and schedule patients for treatment start
- Ensure all payments for treatment are received and posted
- Administrative tasks
- Check patient in/out
- Send insurance claims
- Take payments from customers
- Answer phones, emails, and text messages
- Check voicemails
- Follow up on any missed calls

Previous dental experience is strongly preferred but not required. Fluency in additional languages, particularly French, is also considered a strong asset, though not mandatory.

Pay: $19.13-$31.12 per hour
