Administrative Assistant – Farm Operations

Position Summary
Windy Heights Farm is seeking a reliable and organized Administrative Assistant – Farm Operations to provide administrative support for a diversified agricultural business specializing in gourmet mushroom production, premium farm products, livestock, educational experiences, and value-added food production.
The successful candidate will be responsible for maintaining accurate administrative and financial records while assisting with inventory management, customer service, production documentation, and operational coordination. As part of a small, family-operated farm, the position also includes hands-on assistance with mushroom production, product packaging, commercial kitchen activities, and other farm support duties as operational requirements dictate.
Primary ResponsibilitiesAdministrative Support
- Maintain electronic and paper filing systems for farm business records.
- Perform bookkeeping support including data entry, organizing receipts, preparing invoices, maintaining purchase records, and reconciling documentation for accounting purposes.
- Assist with payroll documentation, employee records, and timesheet administration.
- Maintain farm production records, inventory records, and operational documentation.
- Respond to telephone calls, emails, and customer inquiries in a professional manner.
- Process customer orders and coordinate product pickups and deliveries.
- Schedule meetings, supplier deliveries, service appointments, and operational activities.
- Order office supplies, packaging materials, and production supplies.
- Prepare correspondence, reports, spreadsheets, and other business documents.
- Maintain confidentiality of business and financial information.
Farm Operations Support
- Assist with harvesting, grading, packaging, labeling, and storing gourmet mushrooms and other farm products.
- Prepare mushroom growing rooms for production cycles, including cleaning and sanitation.
- Maintain cleanliness and sanitation standards within production areas.
- Receive deliveries and organize inventory of production materials and supplies.
- Assist with inventory counts and stock control.
- Provide general operational support during peak production periods.
- Assist with greenhouse, vegetable, poultry, and other seasonal farm activities when required.
Commercial Kitchen Support
- Assist with food preparation, packaging, and labeling of value-added farm products.
- Support preparation for farm-to-table events, educational programs, and food tastings.
- Maintain cleanliness and sanitation of the commercial kitchen in accordance with food safety standards.
- Wash dishes, sanitize equipment, and restock kitchen supplies.
- Assist with preparing staff meals during periods of intensive farm operations, as required.
Qualifications
- Diploma or post-secondary education in business, accounting, office administration, or a related field is considered an asset.
- Experience with bookkeeping, administrative support, recordkeeping, or office administration required.
- Strong organizational and time management skills.
- Proficiency with computer software including Microsoft Office and basic accounting software.
- Ability to work independently and as part of a team.
- Willingness to perform both administrative and hands-on operational duties in a diversified farm environment.
- Ability to perform moderate physical work, including standing, lifting, bending, and working in agricultural production areas.
- Strong attention to detail, dependability, and flexibility.
Working Environment
This position combines office administration with operational support in a diversified agricultural business. The successful candidate will work in an office setting, mushroom production facility, commercial kitchen, and other farm production areas as operational needs require. Training will be provided for farm-specific production processes and food safety procedures.
