Payroll Specialist

Role Overview

The Payroll Specialist is responsible for delivering accurate, timely payroll processing and supporting the organization’s compensation, benefits, and employee data administration. This role ensures payroll integrity, legislative compliance, and smooth coordination between HR, Finance, and employees.

Key Responsibilities

Payroll Operations

Manage end‑to‑end payroll cycles for hourly and salaried employees, including unionized groups.
Validate time entries, resolve discrepancies, and confirm approvals with department leaders.
Process adjustments such as retroactive pay, vacation payouts, leave balances, and other earnings or deductions.
Prepare employment records and documentation related to hires, terminations, leaves, and status changes.
Administer statutory and voluntary deductions, including taxes, retirement contributions, benefit premiums, and garnishments.
Maintain payroll data integrity through regular audits, reconciliations, and system updates.
Produce year‑end payroll reporting and tax documentation, ensuring compliance with federal and provincial requirements.
Respond to employee inquiries and provide guidance on payroll policies, pay statements, and related matters.

Benefits Administration

Process enrollments, changes, and terminations for group benefits and retirement programs.
Reconcile provider invoices with payroll records to ensure accurate deductions and employer contributions.
Maintain confidential employee benefit files and ensure all required forms are completed and stored appropriately.

Financial & Administrative Support

Prepare payroll‑related journal entries and support month‑end reconciliation activities.
Provide backup support to accounting or administrative roles as needed.

Must‑Have Qualifications

Minimum 2–3 years of payroll experience in a unionized environment.
Hands‑on experience with modern payroll systems such as ADP, UKG, Ceridian, Dayforce, or similar platforms.
Payroll Compliance Practitioner (PCP) certification required; additional payroll certifications considered an asset.
Strong understanding of payroll legislation, statutory deductions, and compliance requirements.
Excellent organizational skills with the ability to manage multiple priorities and deadlines.
High level of professionalism, confidentiality, and attention to detail.
Strong communication skills and comfort interacting with employees at all levels.
Solid analytical and problem‑solving abilities.

Pay: $50,000.00-$60,000.00 per year
