Bridges Community Health Centre (CHC) is a non-profit, community-governed organization funded by the Province of Ontario. We are currently recruiting a full-time Executive Assistant/Human Resources (EA/HR) Coordinator to join our team.
Job Summary
The Executive Assistant/HR Coordinator role supports the Leadership Team, including the Executive Director, Director, Managers and Board of Directors. The role works collaboratively with the entire Bridges CHC team, always demonstrating tact, confidentiality and discretion. This position is responsible for a broad range of general office duties and human resource administration tasks, including assisting the ED and leadership team members, acting in an administrative capacity for the Board of Directors, coordinating Human Resources tasks, as well as overseeing organizational events.
Responsibilities:
- Provide high-level confidential, administrative support to the ED and leadership team, including administration of general correspondence, preparing reports and minutes, gathering information, maintaining schedules, coordinating meetings, etc.
- Provide administrative support to the Board of Directors, attending meetings, taking minutes, preparing meeting packages, planning the Annual General Meeting, etc.
- Coordinate recruitment processes including posting job openings, screening resumes, scheduling interviews and conducting reference checks.
- Facilitate onboarding process of new employees, including completing paperwork, coordinating orientation schedules, and ensuring they have the necessary tools and resources.
- Coordinating staff training, staff development and education sessions. Arrange, monitor, set-up and maintain training records for all employees ensuring compliance with company policies and legal requirements.
- Oversee, participate in and comply with all health and safety processes and initiatives to ensure Bridges CHC is in compliance with provincial requirements.
- Other administrative duties may be assigned as required.
Qualifications:
- Education and experience in Human Resources administration required.
- Successful completion of post-secondary education in business administration or a related discipline is preferred.
- Experience working with volunteer Board of Directors and committees of the Board
- Experience in event planning, logistics/project management
- Experience in administrative role with HR related tasks.
- Superior interpersonal and communication skills, problem-solving, conflict management and time management skills, with a demonstrated record of professional conduct and character.
- Strong relationship management skills, making a point of being approachable and pleasant to deal with.
- Adaptable, resourceful and able to pivot and change priorities with calm and ease.
- Proven ability to manage sensitive information with integrity and discretion.
- Commitment to continual learning and professional growth
- Ability to work at either Bridges CHC location
Additional Requirements:
- Ability to work days and evenings as needed
- Valid Ontario Driver’s License and access to a reliable vehicle
- Police Reference Check required
