Done-Right Construction & Renovations Inc. is a growing construction and real estate development company specializing in custom homes, major renovations, and multi-family developments throughout the Ottawa Valley.
We're looking for an experienced Office Manager & Bookkeeper to become a key member of our team. This role is responsible for keeping the office running smoothly, managing day-to-day financial administration, and supporting our leadership team across multiple areas of the business.
Beyond bookkeeping and office management, we're looking for someone who takes ownership, enjoys learning new technology, improves systems, and wants to grow with our company long-term.
ResponsibilitiesOffice Administration
- Manage incoming and outgoing calls, emails, and general office communication.
- Coordinate schedules, meetings, and appointments.
- Welcome clients, suppliers, subcontractors, and trade partners in a professional manner.
- Maintain organized company records, files, and documentation.
- Order office supplies and coordinate general office operations.
Accounting & Bookkeeping
- Manage accounts payable and accounts receivable.
- Perform bookkeeping using Sage Accounting.
- Complete bank and credit card reconciliations.
- Prepare payroll information and CRA payroll remittances.
- Complete HST filings and assist with other CRA requirements.
- Maintain accurate financial records and assist with year-end preparation for our accountant.
- Track project expenses and assist with project costing.
Project & Administrative Support
- Work directly with our leadership team to support the day-to-day operations of the business.
- Assist with project documentation, contracts, proposals, and change orders.
- Maintain organized project files within BuildBook and other company systems.
- Help coordinate communication between clients, subcontractors, suppliers, consultants, and project managers.
- Ensure project documentation is accurate and up to date.
- Support the leadership team with a variety of administrative and operational tasks as the company continues to grow.
Technology & Systems
We're looking for someone who enjoys technology and is comfortable learning new software.
Experience with any of the following is considered an asset:
- Sage Accounting
- Microsoft 365 (Excel, Word, Outlook)
- BuildBook
- Monday.com
- Canva
- Adobe Acrobat
- SharePoint
- ChatGPT, Microsoft Copilot, or other AI productivity tools
- Cloud-based document management systems
- Process improvement and workflow automation
Qualifications
- Minimum 3 years of experience in bookkeeping, office management, administration, or accounting.
- Experience with Sage Accounting or similar accounting software.
- Strong understanding of bookkeeping principles, payroll, CRA remittances, and HST filings.
- Excellent organizational and time management skills.
- Strong attention to detail and accuracy.
- Excellent written and verbal communication skills.
- Comfortable working in a fast-paced environment and managing multiple priorities.
- Construction industry experience is considered a strong asset.
