JOB SUMMARY:The Office Administrator serves as the central point of contact for administrative operations across the office. This role is the first point of contact for guests and vendors, providing support via telephone, email, web platforms, and in person. The Office Administrator is responsible for coordinating office organization, managing documentation, and facilitating communication between management, suppliers, subcontractors, and clients.
This position is ideal for someone who thrives in a fast-paced construction environment and is confident leading administrative functions, optimizing workflows, and maintaining clear communication across projects while ensuring adherence to policies and deadlines. The Office Administrator directly supports leadership and plays a key role in ensuring the smooth day-to-day operations of Norwood & Co. Experience in payroll and accounting functions is considered an asset, with opportunities for growth into expanded financial responsibilities over time.
KEY RESPONSIBILITIES:
· Manage day-to-day office operations and general administrative duties.
· Support project managers with document control, scheduling, and procurement paperwork.
· Process invoices, purchase orders, and timesheets.
· Assist with weekly payroll processing using ADP.
· Support basic accounting functions, including data entry and coordination within Sage software.
· Maintain accurate digital and physical filing systems.
· Perform material pick-up and drop offs to site as needed
· Coordinate deliveries, site access, and subcontractor communications.
· Handle incoming calls, emails, and correspondence professionally.
· Assist with HR and onboarding procedures for new employees.
· Maintain office supplies and manage vendor relationships.
· Coordinate meetings for leadership and follow up on deliverables.
· Assist in developing, updating and managing company policies and procedures.
· Maintain and proactively upkeep security clearances for all employees
· Other duties as assigned
REQUIRED SKILLS AND QUALIFICATIONS:
· Diploma or certificate in Office Administration or related field.
· 2+ years of administrative experience (construction or trades industry preferred).
· Valid driver’s license
· Strong organizational and time-management skills, attention to detail.
· Proficient with Microsoft 365 Suite and use of AI.
· Excellent verbal and written communication skills.
· Ability to work independently and in a team environment.
· Knowledge of basic accounting, payroll processing and invoicing is an asset.
· Basic accounting knowledge or coursework considered an asset.
Pay: $24.00-$28.00 per hour
