Job Title: Reconstruction Coordinator
Reports to: Reconstruction Team Lead
Key Responsibilities:
· The Reconstruction coordinator plays a critical role in the insurance restoration process by coordinating reconstruction projects from approval through completion. This position acts as a central point of communication between project managers, trades, vendors, insurers and clients to ensure reconstruction work is scheduled, documented, and completed, on time and in accordance with insurance requirements.
Project Coordination & Scheduling:
· Coordinate reconstruction jobs following approved scopes.
· Develop, maintain, and update detail repair schedules (Gantt Charts) and timelines.
· Schedule subcontractors, internal crews, inspections and material deliveries.
· Monitor progress and proactively address scheduling conflicts, delays or scope changes.
· Assist with inspection coordination and deficiency resolution.
· Coordinate access with the property owner or representative.
· Send welcome pages out to homeowners and make reconstruction job files.
Communication & Customer Service:
· Act as a primary communication point for homeowners, project managers, trades and insurance partners.
· Provide clear scheduling updates and manage client expectations throughout reconstruction.
· Maintain professional and empathetic communication, recognizing the sensitive nature of insurance claims.
· Update job management software including regularly.
· Maintain constant communication with property owner.
· In form all parties when repairs are complete.
Administrative & System Management:
· Maintain accurate job files, schedules, and notes within job management systems.
· Track permits, inspections and municipal approvals as required. Upload into job management systems any building inspection reports.
· Complete permit packages, schedule building inspections throughout various repair phases, update all parties with outcomes and next steps.
· Upload into job management program process and completed photos.
· Update workflows.
· Intake Project Manager Hand Off Sheet and log into Repair Production list.
· Obtain change orders, material confirmations.
· Abide by insurance companies Service Level Agreements.
· Create job folders for in-house carpenters along with any corresponding materials ie) work orders etc.
· Ensure all job documents are readily available and filled up in the reconstruction shop for the carpentry department ie) Time Sheets, Job Reports etc.
· Keep up to date records of subcontractors WSIB Clearance Certificates and Business Insurance.
Team Qualifications (Requirements):
· Self-motivated with a positive attitude
· Likes working with people and tradesman/women
· Clean criminal background check
· Valid driver's license with a clean record
· Highly Organized. Must be able to prioritize and manage time effectively
· Career emphasis on learning and continuing education
· Must be able to adapt to change
· Excellent communication and presentation skills
· Construction industry experience is an asset, but not necessary
· Thrives under high stressful situations and works well under stressful situation

Pay: $50,000.00-$60,000.00 per year
