About the Role
We are seeking a highly organized Shipping, Receiving & Logistics Tracking Associate to help manage the movement and digital tracking of products from suppliers and production partners through to our clients.
This position combines computer-based logistics coordination, supplier ordering, spreadsheet management, inventory tracking, and hands-on shipping and receiving responsibilities.
A significant portion of the role involves maintaining accurate digital records, updating shared spreadsheets, and ensuring that order and inventory information is complete and up to date.
The successful candidate must also be comfortable handling and transporting bundled materials to and from a local production contractor. A valid driver’s licence and access to a reliable vehicle are required.
Key ResponsibilitiesShipping, Receiving and Supplier Coordination
- Place orders with multiple suppliers and track order statuses using shared spreadsheets.
- Coordinate the flow of incoming products from suppliers and our production facility.
- Receive multiple shipments each week and verify products and quantities against digital records.
- Organize and bundle materials for delivery to a local production contractor.
- Deliver materials to the contractor and pick up completed orders for return to the office.
- Pick, pack, and prepare dance costume and teamwear orders for courier shipment.
- Process returned apparel sizing sets by counting, refolding, organizing, and identifying items that require washing.
- Investigate and report missing, incorrect, or damaged products.
Digital Tracking and Computer Work
- Maintain detailed spreadsheets for:
- Supplier orders and expected delivery dates
- Contractor drop-off and pickup records
- Inventory levels and stock usage
- Courier tracking numbers and delivery confirmations
- Enter incoming and outgoing shipments into our shipping system, currently DHL.
- Update digital inventory records daily.
- Organize shipping records, documents, and digital files in Google Drive.
- Ensure all information is accurate, current, and easily accessible to management.
- Communicate shipment updates, delays, discrepancies, and outstanding items to the appropriate team members.
Additional Responsibilities
- Maintain a clean, safe, and organized shipping and receiving area.
- Monitor, order, and organize shipping and packing supplies.
- Conduct regular inventory counts and update digital records.
- Complete local errands and pickups as required.
- Assist with administrative tasks involving computer work, data entry, and document organization.
- Support other operational tasks during busy production and shipping periods.
Qualifications and Skills
The ideal candidate is:
- Highly organized and detail-oriented.
- Confident using spreadsheets, shared digital documents, and computer-based tracking systems.
- Reliable, responsible, and able to manage time effectively.
- Comfortable working independently and following structured processes.
- Able to prioritize multiple orders, shipments, and deadlines.
- Comfortable communicating with suppliers, contractors, couriers, and internal team members.
- Able to identify inconsistencies and resolve or report them promptly.
- Willing to adjust their start or end time when required to accommodate shipments, deliveries, and contractor pickups.
- Physically able to lift and carry packages weighing up to 40 pounds.
Required
- A valid driver’s licence.
- Consistent access to a reliable vehicle.
- Strong computer and data-entry skills.
- Availability to work full-time, Monday to Friday, at our Port Hope office.
Work Location
This is an in-person position based at our office in downtown Port Hope, Ontario. Local driving will be required as part of the role.
