Résumé du poste

L'adjoint(e) administratif(ve) effectue diverses tâches administratives afin d'aider les membres de l'équipe à coordonner l'ensemble des programmes et services. Il/Elle est responsable de la formation, de la coordination et de l'attribution des tâches hebdomadaires aux bénévoles du bureau, qui contribuent ainsi efficacement au bon fonctionnement du CAB. L'adjoint(e) administratif(ve) communique efficacement par téléphone et par courriel, garantissant ainsi l'exécution précise et de haute qualité de toutes ses tâches.

Structure

Relevant de la direction générale, l'adjoint(e) administratif(ve) assure le bon fonctionnement du bureau.

Responsabilités clés

Exécuter les tâches administratives confiées par la direction.
Participer aux tâches quotidiennes : ouverture et fermeture du bureau, distribution du courrier, vérification et transmission des communications reçues par téléphone, courriel et fax aux personnes concernées ; classement et mise à jour des bases de données.
Réviser et traduire les outils de communication, les envois postaux spéciaux et toute la correspondance; faire le suivi des demandes de financement, des lettres de sollicitation, des lettres de remerciement pour les dons et des demandes des groupes communautaires.
Apporter un soutien administratif aux différents coordinateurs, notamment pour les services alimentaires, avec l'aide des réceptionnistes bénévoles.
Contribuer à l'organisation de divers événements (rapport annuel, assemblée générale annuelle, semaine du bénévolat, événements spéciaux).
Former, informer et accompagner les nouveaux employés ainsi que les réceptionnistes bénévoles.
Veiller au bon fonctionnement des équipements (téléphone, fax et imprimantes) et acheter les fournitures nécessaires au bon fonctionnement du centre.

Compétences et qualifications requises

Excellente maîtrise du français et de l'anglais, à l'oral comme à l'écrit
Diplôme en administration ou expérience pertinente
Maîtrise de la suite MS Office (Word, Excel, PowerPoint, etc.) et d'Internet
Bonnes aptitudes relationnelles, tant au sein d'une équipe qu'avec le public
Excellent sens de l'organisation et capacité à gérer plusieurs projets simultanément
Discrétion, fiabilité, rigueur et discernement
Capacité à travailler efficacement de façon autonome

Job Summary

The Administrative Assistant carries out various administrative tasks to help team members coordinate all programs and services. The Administrative Assistant is responsible for training, coordinating, and assigning weekly tasks to office volunteers who, in turn, effectively support operations. The Administrative Assistant is able to communicate effectively by phone and email, ensuring that all administrative assistant duties are completed accurately and delivered with high quality.

Reporting

Reporting to the Executive Director, the Administrative Assistant is the support that ensures the smooth operation of the office.

Key Responsibilities:

Carry out office duties and all related tasks assigned by the Executive Director
Assist with daily routines: opening and closing the office, distributing mail, checking and forwarding communications received by phone, email, and fax to the appropriate persons; filing and database updates.
Write and translate communication tools, special mailings and draft all correspondence, funding requests, solicitation letters, donation thank-you letters, and requests from community groups
Support the various coordinators with their administrative needs, more specifically food services, with the help of volunteer receptionists
Provide support for various events (annual report, annual general meeting, Volunteer Week, special events)
Train, inform, and guide new employees as well as volunteer receptionists
Ensure the proper functioning of equipment (telephone system, fax machine, and printers) and purchase supplies necessary for the smooth operation of the organization

Competencies and Knowledge Requirements

Excellent knowledge of French and English, both written and spoken
Administration diploma or relevant experience
Proficiency in MS Office (Word, Excel, PowerPoint, etc.) and Internet use
Good interpersonal communication skills with a team and the public
Excellent organizational skills with the ability to work on multiple projects
Discretion, reliability, accuracy, and good judgment
Ability to work effectively with minimal supervision

Pay: $16.46-$30.68 per hour
