Position Title: Human Resources Coordinator
Department: Human Resources / Administration
Reports To: Senior Human Resources Manager (or Human Resources Manager) and Chief Administrative Officer
Status: Full-time, Permanent
Hours: 35 hours per week
Wage: $50,000–$62,000 per year (based on experience and qualifications)
Position Summary
The Human Resources Coordinator provides essential administrative and operational support to the Human Resources Department at Gwa’sala-’Nakwaxda’xw Nations (GNN). This position is responsible for supporting HR processes including recruitment, onboarding, employee records management, payroll and benefits support, and general HR administration.
The HR Coordinator plays an important role in ensuring HR systems and processes are accurate, organized, and compliant while maintaining a high level of confidentiality, professionalism, and respect in all interactions.
Key Responsibilities
Recruitment & Staffing Support
- Prepare and post job advertisements in coordination with HR leadership and hiring managers
- Coordinate interviews, scheduling, and communication with applicants
- Conduct reference checks as directed
- Support onboarding and orientation processes for new employees
- Prepare employment letters and related hiring documentation
HR Administration & Records Management
- Maintain accurate and confidential employee personnel files (electronic and paper)
- Update HR databases and employee records as required
- Track key employment dates including probation periods, renewals, and status changes
- Prepare HR correspondence, forms, and documentation as directed
- Ensure HR records comply with organizational policy and applicable legislation
Payroll & Benefits Support
- Assist with payroll processing by verifying employee data changes
- Support benefits enrollment and employee benefits-related inquiries
- Maintain attendance, leave tracking, and related records
- Coordinate with payroll and finance as required
Employee Support & General HR Functions
- Respond to general HR inquiries and escalate complex matters to HR leadership
- Support performance review tracking and documentation processes
- Assist with workplace documentation and HR file preparation under direction
- Maintain confidentiality in all employee and organizational matters
HR Projects & Administrative Support
- Assist with updates to job descriptions, policies, and HR procedures
- Support HR reporting, audits, and data tracking
- Contribute to HR projects and process improvements
- Provide general administrative support to the HR department as required
Qualifications & Skills
- Post-secondary education in Human Resources, Business Administration, or related field (or equivalent experience)
- 1–2 years of experience in HR, office administration, or related coordination role preferred
- Strong organizational skills with high attention to detail and accuracy
- Excellent verbal and written communication skills
- Strong interpersonal and customer service skills
- Ability to maintain strict confidentiality and professionalism
- Proficient in Microsoft Office (Word, Excel, Outlook)
- Experience with Xyntax, Sage or ADP operating systems is an asset
- Ability to multitask and work in a fast-paced environment
- Respect for Indigenous culture and willingness to work within a First Nations governance environment
Working Conditions
- Office-based position located at the GNN Administration Office in Port Hardy, BC
- Monday to Friday schedule, 35 hours per week
- Occasional overtime or flexibility may be required to meet operational needs
- Frequent interaction with staff, leadership, and external applicants
Conditions of Employment
- Successful completion of a Criminal Record Check is required
- Must comply with GNN policies, procedures, confidentiality requirements, and standards of conduct
