Overview

We are seeking an energetic and detail-oriented Receptionist Office Manager to be the welcoming face of our organization. This vital role involves managing front desk operations, providing exceptional customer service, and supporting administrative functions to ensure smooth daily operations. The ideal candidate will be proactive, organized, and possess excellent communication skills to create a positive first impression for visitors and clients alike. This position offers an exciting opportunity to develop your administrative and customer support skills in a dynamic environment. Please note this is an in-office position and is not a remote or hybrid role. The successful candidate will work in-office.

Duties

Greet visitors, clients, and staff with professionalism and enthusiasm, creating a warm and welcoming atmosphere
Manage multi-line phone systems, answer inquiries promptly, and direct calls efficiently using proper phone etiquette
Handle data entry tasks accurately using Microsoft Office, Google Workspace, and other office software
Maintain organized filing systems—both physical and electronic—to ensure quick retrieval of documents
Support clerical tasks such as photocopying, faxing, proofreading documents, and managing correspondence
Assist with basic bookkeeping duties using QuickBooks or similar accounting software
Support AR/AP function
Ensure the reception area remains tidy and professional at all times

Skills

Proven experience in office administration or clerical roles with strong organizational skills
Excellent customer service skills with the ability to handle diverse inquiries professionally
Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
Strong computer skills including data entry, typing accuracy, and familiarity with multi-line phone systems
Knowledge of bookkeeping or QuickBooks for basic financial record-keeping
Attention to detail for proofreading documents and maintaining accurate records
Effective phone etiquette and communication skills to support customer support efforts
