We are currently seeking a Leasing Coordinator to join our team at our Charlottetown headquarters.
About the Role
This is not a typical office job.
We are looking for someone who is obsessed with filling units, reducing vacancy, and connecting great people with great homes. This role is part salesperson, part relationship builder, and part problem solver.
The successful candidate will be responsible for managing leasing activities across assigned territories throughout PEI. You will work closely with our property management team and report directly to the General Manager of Red Sands Property Management.
This position requires flexibility. While most work occurs during regular business hours, successful leasing often requires occasional evenings and weekends to accommodate prospective residents and secure tenant placements.
The primary objective of this role is simple: keep units occupied with great residents while minimizing vacancy whenever possible.
Compensation
$45,000 annual salary plus performance-based commission.
This role offers significant earning potential for someone who is motivated by results and takes ownership of their portfolio.
Key Responsibilities
- Leasing & Sales
- Conduct property showings throughout assigned territories
- Meet prospective residents and professionally present available units
- Post and respond to all leasing inquiries by phone, email, Facebook Marketplace, Kijiji, and other advertising channels
- Follow up promptly with prospective residents
- Review rental applications and assess applicant suitability
- Complete tenant reference checks
- Answer questions regarding available properties and communities
- Prepare lease agreements and ensure all documentation is accurate and complete
- Collect and track security deposits
- Build relationships with major employers, community groups, government organizations, relocation services, and other referral sources
- Maintain a strong pipeline of prospective residents at all time
Vacancy Management
- Ensure vacant units are prepared and marketed quickly
- Coordinate and oversee company cleanings
- Conduct move-in and move-out inspections
- Assess and document damages
- Take photos and create compelling rental advertisements
- Write listing descriptions that effectively market available units
- Post rentals on Facebook Marketplace, Kijiji, and other marketing platforms
- Monitor vacancy levels and identify opportunities to improve occupancy
- Ensure units are rent-ready and presented professionally
Administration
- Ensure tenant lease files are complete, accurate, and properly maintained
- Answer the leasing phone line during business hours
- Prepare annual rent increase notices
- Prepare late rent documentation as required
- Maintain detailed property wiki pages and unit information
- Roll and account for laundry machine coin collections
- Prepare weekly leasing and occupancy reports for management
- Complete special projects as assigned
Qualifications
- Valid driver’s license and clean driving record
- Strong communication and interpersonal skills
- Sales experience is considered a strong asset
- Excellent organization and time management skills
- Ability to work independently with minimal supervision
- Comfortable meeting new people and conducting showings in various locations
- Strong attention to detail and professional presentation
- Comfortable using computers, social media platforms, and property management software
- Willingness to occasionally work evenings and weekends when required
