Reporting to the Controller, Financial Services, the Accounts Payable (AP) Officer is a key member of the Financial Services team. The role is responsible for providing accurate, timely, and customer-focused accounts payable support while contributing to the continuous improvement of financial processes and services.
Responsibilities
Duties include but are not limited to:
- Communicating with UNBC employees and vendors through a lens of customer service to ensure understanding, compliance and positive relationships;
- Participating in special projects and identifying opportunities to achieve continuous improvement and optimization of processes, including leveraging system enhancements and implementing automation solutions;
- Processing invoices, travel claims, and cheque requisitions accurately and in a timely manner for internal and external, domestic and international vendors;
- Reviewing incoming invoices and claims for completeness and accuracy, validating amounts, coding, approvals, and ensuring appropriate supporting documentation;
- Ensuring compliance with purchase orders, contracts, research requirements, and internal UNBC policies, including coordinating with the research accounting office for exceptions;
- Reconciling UNBC purchase cards and vendor statements, coordinating with vendors to ensure timely payments and maintain strong relationships;
- Applying, reconciling, and remitting applicable provincial and federal taxes in compliance with legislation;
- Preparing journal vouchers to correct coding errors, clear advances, and resolve clearing account transactions;
- Maintaining the integrity of the general ledger by ensuring accurate coding, proper fiscal period reporting, and identifying prepaid expenses and accruals;
- Completing reconciliations, preparing working papers, and meeting all quarterly and annual reporting deadlines;
- Responding to auditor requests during year-end and special audits; and
- Serving as a subject matter expert for finance policies and acting as a gatekeeper for purchasing compliance.
Qualifications
The successful candidate will possess a two-year Business Administration Certificate together with a minimum of two years of directly related work experience in a computerized accounting environment. You are proficient in word processing and spreadsheet software, (i.e. MS Word and Excel) and demonstrate accuracy in data entry. Comprehensive knowledge of provincial and federal sales taxes is essential. Excellent oral and written communication skills are required as part of a customer service approach, as well as organizational skills and an ability to cope with high volumes of work. Knowledge of the Banner system will be considered an asset.
An equivalent combination of education and experience will be considered.
Salary
This position has been classified at a Grade 8. The annual salary range for this position is $66,411.80 to $69,160.00 and the normal starting salary will be $66,411.80, pro-rated based on length of term.

Normal hours of work will be 8:30am – 4:30pm, Monday through Friday.
