Facilities Department
CUPE, Term, Full-time (September 2026 - August 2027)

Reporting to Manager of Project Delivery, the Office Administrator provides departmental support and assistance, including overseeing the facilities administrative staff.
Responsibilities
Duties include but are not limited to:
- Coordinating and processing service requests including production of work orders, expediting and coordinating materials, monitoring operations radio, liaising with maintenance personnel;
- Administering WebTMA Computerized Maintenance Management System (CMMS) database system for maintenance tracking & service requests;
- Administering specific contracts and act as a liaison between contractors and UNBC Departments (ie. Janitorial Services, campus signage);
- Maintaining the VFA database on an ongoing basis for reporting to the Provincial Government;
- Providing liaison and supporting on capital projects as required;
- Record keeping, data entry, invoice tracking, preparing reports, spreadsheets, project documentation, process improvements and other administrative support duties';
- Creating and following through with web requisitions, cheque requisitions, blanket orders, contracts and procurement cards;
- Administering different projects throughout the year, including Routine Capital projects (ie. Flooring replacements);
- Overseeing the duties of the Facilities Assistant;
- Providng relief coverage for Facilities Assistant (ie. breaks, leaves and high-volume times), including the following:
- Distributing and receiving access devices ensuring proper authorizations & deposits; and
- Maintaining and managing relevant databases such as TS1000, Commander 4 & Enterprise for access issuance.
- Providing departmental supports including taking meeting minutes, sending out materials, and arranging meetings;
- Monitoring, reconciling, and authorizing purchases of goods and services using a UNBC procurement card;
- Monitoring and updating web page;
- Making travel arrangements for staff and supervisor(s); and
- Sending out relevant communications to UNBC community.
Qualifications
The successful candidate will possess a one-year certificate in office administration with a minimum 3 years of directly-related experience in an office or administrative environment. An equivalent combination of education and experience will be considered. You are proficient in the use of word processing, spreadsheet, database, publishing, presentation and communication software (i.e. MS Word, Excel, PowerPoint, and Outlook). In addition, you have a proven ability in the use of email, web browsers and the WebReq and Banner finance systems. You have demonstrated excellent interpersonal and organizational, oral and written communication skills in your previous work experience. Ability to function in a multi-tasking environment, under pressure and meet constant deadlines is essential.
Salary
This position has been classified at a Grade 9. The annual salary range for this position is $70,215.60 to $73,127.60 and the normal starting salary will be 70,215.60, pro-rated based on length of term.

Normal hours of work will be 8:30am – 4:30pm, Monday through Friday.
