Full job description

The role supports project execution by maintaining accurate project records, coordinating meetings and communications, and assisting with planning, tracking, and reporting so that project requirements and contractual commitments are met and properly captured within the corporate record. The Project Administrator works collaboratively with the Integrated Project Team (IPT), Davie’s functional teams, and internal/external stakeholders to enable efficient delivery of the Project.

Responsibilities:

Document and Information Management
- Work with Document Control to ensure sensitive project documents are handled and stored in accordance with company standards.
- Prepare, format, and organise DWP/project documents, including deliverables, procedures, change requests/change orders, instructions, and meeting notes.
- Maintain accurate and complete project correspondence and records; scan, file, and archive documentation as required.
- Maintain trackers for the assigned DWP, including commitments, deliverables, action items, and responses (e.g., RFIs/RFP-related inputs as applicable).
- Support updates to the project/DWP organisation and stakeholder/contact lists, as required.
- Ensure internal control systems and standard templates are leveraged at all stages of the DWP, as per company standards.
- Provide regular status inputs to the Project Manager and Program Coordinator (e.g., actions, decisions, deliverables) to support project tracking and reporting.
- Organise and maintain DWP/project information repositories (e.g., SharePoint, M-Files) for efficient access and auditability.
- Support effective use of Microsoft Teams for collaboration on the DWP, including channel/file organisation and meeting logistics.
- Support action/task tracking in Microsoft Planner (or equivalent tool) for the assigned DWP.
Administrative and Office Support
- Support the assigned Project Manager and Program Coordinator, as required, including administrative coordination related to cost tracking inputs, scheduling, standards/specifications, corporate policies and procedures, and applicable contract requirements.
- Perform other duties as may from time to time be requested by members of the Program/Project Management team.
- Arrange site/building access as required for people visiting/joining CDCI.
- Coordinating estimating tasks for ad hoc ship repair project.

Meeting and Event Coordination
- Schedule, coordinate, support and attend Program/Project meetings as directed, and where required capture meeting minutes/actions.
- Arrange catering for Program/Project events as required.
- Administrate the Project Manager calendar to avoid double booking and block some Focus time.
Travel and Logistics Coordination
- Coordinate arrival of visitors, PPE and safety training for new subcontractors.
IT and Technical Support
- Team Support and Communication
- Provide day-to-day administrative support to the assigned Project Manager to enable effective planning, coordination, and delivery of the DWP.
- Coordinate with IPT members and functional teams to support timely information flow, task follow-up, and issue escalation as directed by the Project Manager/Program Coordinator.
- Identify needs for rapid decision making, maintain contacts with key stakeholders, and help remove administrative barriers to keep DWP activities moving.

Bilingual in French and English. This position requires English proficiency to interact with English-speaking clients, partners, and suppliers.
Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools (e.g., Teams).
Strong proficiency with internal document/records management and project information systems (e.g., SharePoint, M-Files) and ability to learn corporate tools quickly.
Ability to manage priorities and coordinate multiple work streams and deadlines in support of the assigned DWP.
Strong attention to detail, discretion, and follow-through, with proven problem-solving skills and ability to develop and implement action plans.
Experience in minutes taking is an asset.
