Job Summary
As a Food Safety Coordinator (Industry & Food Service), you will support day-to-day food safety operations with a focus on supplier documentation review, customer compliance, and cross-functional coordination for industrial and food service customers.
Your role plays a key part in ensuring that all food safety documentation is complete, accurate, and aligned with customer and regulatory requirements before product approval and shipment. You will work closely with global suppliers and internal teams to manage documentation workflows, troubleshoot issues, and maintain compliance across multiple customer systems.
You will collaborate with stakeholders – External (Suppliers, Customers) and Internal (Commercial, Procurement, Customer Service, Supply Chain, and own FSQA team) – to ensure smooth execution of food safety processes in a fast-paced, high-volume environment.
Core Responsibilities
A. Food Safety Documentation & Compliance Review
- Request and collect a wide range of technical food safety documentation from global suppliers in line with internal SOPs.
- Review and approve documentation to ensure supplier food safety systems are complete, accurate, and compliant.
- Verify that food safety documents meet customer-specific requirements prior to submission.
- Review Certificates of Analysis (COAs) against customer and industry microbiology standards.
- Ensure all documentation is properly filed, version-controlled, and maintained in internal databases.
- Support new item creation by validating that food safety documentation aligns with SAP item setup.
B. Customer Platform & Data Management
- Upload and manage supplier documentation on customer approval platforms (e.g., TraceGains, FoodLogiQ, Supplyline).
- Monitor platforms to ensure supplier documentation remains current, valid, and compliant.
- Maintain accurate and up-to-date electronic records and tracking tools (Excel, SharePoint, ERP systems).
- Support documentation workflows to ensure timely approvals and avoid shipment delays.
C. Troubleshooting & Process Coordination
- Identify and resolve issues related to missing, inconsistent, or non-compliant documentation.
- Follow up proactively with suppliers to ensure timely resolution of gaps.
- Communicate food safety project updates and risks to the Commercial and Procurement teams.
- Provide ongoing troubleshooting support to maintain efficient workflow and compliance continuity.
- Support updates to internal SOPs and documentation processes under guidance of the Food Safety Manager (Ind/FS).
D. Cross-Functional Communication
- Act as a key liaison between company, suppliers, and customers for food safety documentation matters.
- Collaborate with Procurement to ensure supplier readiness and compliance.
- Partner with Commercial/Sales to align on customer timelines and expectations.
- Work with Customer Service to resolve documentation issues impacting shipments or claims.
- Ensure clear, timely, and professional communication across all stakeholders.
E. Administrative & Ad-Hoc Support
- Maintain organized documentation systems and ensure audit-ready records.
- Assist the Food Safety Manager (Ind/FS) in daily coordination and project execution.
- Support continuous improvement initiatives and process standardization efforts.
- Perform additional administrative or project-based tasks as required.

Technical Proficiency
- Comfortable working in a fast-paced, tech-enabled environment

- Skilled at managing various customer approval platforms
- Tools: Word, Excel, Outlook, Adobe, SharePoint, Microsoft Teams
- Assets: SAP Business One (SAPB1), experience with customer approval platforms
Education & Work Experience
- Educational background in Food Safety, Food Science, Microbiology, or related field
- Previous experience in the food industry is a strong asset
- Experience working with customer approval platforms (TraceGains, FoodLogiQ, Supplyline or similar) is an asset
Job Types: Full-time, Permanent
Pay: $60,000.00-$70,000.00 per year
