SCOPE
Reporting to the Senior Director, Innovation, Incubation and Transformation, and Valorisation du français, Lifelong Learning, the incumbent coordinates project activities and assists in the management of multiple projects. Adhering to established project management methodologies, they document project progress through comprehensive reports and tracking systems. Collaborating with a diverse range of stakeholders, the incumbent facilitates the collection and dissemination of information to ensure the efficient execution of projects. Additionally, they identify potential risks and provide recommendations for mitigation and resolution to safeguard project outcomes.
PRIMARY RESPONSIBILITIES
• Support the Associate Vice-President for Professional Education and Valorisation du Français by working with the Senior Director to coordinate project and grant research and writing activities and ensure that the steps of the project management process run smoothly. Support the Senior Director in establishing a project management office within Concordia Lifelong to foster a culture of excellence and continuous improvement within the team.
• Coordinate project activities and ensure that the steps of the project management process run smoothly by working with Senior Director of the Concordia Lifelong unit.
• Ensure the overall coordination of the project portfolio, by monitoring the overall capacity in human, material, and financial resources of the project, to achieve project milestones and deliverables, therefore enabling the senior director to make decisions regarding the prioritization of current and upcoming projects and changes.
• Coordinate institutional cross-functional project teams and stakeholders, to ensure collaboration and alignment throughout all project phases.
• Collect and compose project updates, and decisions to communicate to stakeholders, sponsors, and senior management through meetings, status reports, and presentations on a regular basis.
• Develop and deploy integrated dashboards using identified key performance indicators tailored to the senior leadership team needs to identify gaps and trends and monitor progress of projects.
• Identify and raise project management risks and issues in a timely manner and implement mitigation strategies to address challenges and deviations from the project plan.
• Optimize, implement, and ensure compliance to project management best practices, methodologies, and quality standards throughout the project.
• Complete project closure activities to identify lessons learned and areas for improvement and archive all project documentation.
• Provide guidance to the Senior Director pertaining to individual skills and development to help unlock the full potential of the unit, to carry out the Concordia Lifelong renewed mission to provide innovative and responsive learning opportunities to the whole community.
• Set up and facilitate a community of practice to guide the team with transformation initiatives.
• Exercise influential leadership to ensure the success of the projects, and to promote a culture of accountability and empowerment within the Concordia Lifelong unit.
• Perform other duties in support of the unit.
QUALIFICATIONS
• Bachelor’s degree in an area related to the primary responsibilities (e.g. Management, Education, Educational Technology, Information Sciences, Business Technology Management) and four to seven years of related experience.
• Experience in the higher education Lifelong Learning environment is preferred.
• Strong organizational and in-depth, practical knowledge of project management skills with ability to meet tight deadlines and manage multiple tasks simultaneously in a fast-paced environment.
• Very good knowledge (Level 5) of spoken and written English and French in order to write reports, to give and interpret detailed information, explanations, and instructions and deal with people in situations that require accurate use of both languages.
• Good knowledge (intermediate level) of Microsoft Outlook, Word, Excel, PowerPoint, and Adobe Acrobat Professional.
• Excellent communication, decision-making, interpersonal, and problem-solving skills.
• Demonstrate rigor and thoroughness, as well as flexibility and adaptability working in complex and changing environment.
• Ability to contribute to a positive teamwork environment.
• High standard of work performance, seeking advice and expertise of others.
• Ability to work extended hours throughout the year.
• Administrative experience in a university environment is an asset.
• Demonstrable cultural competence is an asset.
• Project management certification (CAPM, PMP, PRINCE2) is an asset.
• Knowledge of SCUM/ Agile is an asset.
• Knowledge of collaborative tools such as Asana, Trello, Planner is an asset.
