The Opportunity:
The Project Coordinator reports directly to the Principal, Project Management & Construction with duties also aligned to the Director, Project Management & Construction and will be responsible for administrative functions as detailed below for all asset classes.
What You Will Do:
Overall responsibility for the administration of capital and construction projects undertaken by the Project Management & Construction team throughout the portfolio.
- Provide support to the Project Management & Construction Team for all aspects of day-to-day activities for assigned projects across all asset classes nationally.
- Assist in preparation and distribution of reports and correspondence to clients/ tenants/ contractors.
- Liaise with contractors/consultants and accounting regarding invoicing and other matters as directed.
- Process invoices including matching to purchase orders and contracts, coding invoices to comply with budget schedules, ensuring appropriate backup and compiling and verifying cost control forms.
- Coordinate the preparation of contracts, receiving of tenders and tender analysis.
- Coordination of the annual capital programs, and organizing monthly capital review meetings
- Coordinate the preparation of Project Close-Out Documentation and maintenance of project files.
- Assist in maintaining and updating the Capital Projects Filling System and Capital Tracker Data Base.
- Other duties as assigned by the Principal, Project Management & Construction and/or Director, Project Management & Construction from time to time.
- Work closely with the Property Management Groups and Technical Services Management Team on Capital Projects
- Overseeing and maintaining all documentation available in the Construction Portal
- Provide ongoing support/training to the Property Managers for the project management and tendering system, Yardi CM
- Provide ongoing support/training to the Property Management team on Capital Tracker Data Base, Cost Control policies.
- Process project payment when required.
- Other duties include/requires for the annual Capital project financial reporting and tracking for all the commercial buildings nationally .
- Provide monthly project reports including cost reporting.
- Make recommendations for the continuous improvement of policies and procedures.

- Other duties as required and assigned from time to time
Who You Are:
- Must be bilingual in English and French.
- Experience – 3 – 5 years’ experience in an operations and property management administrative roll. Additional experience in purchasing, procurement and contract management would be an asset.
- Proficiency in Yardi Construction Manager would be an asset.
- Education – High school diploma supplemented with any of the following courses: post-secondary administrative, purchasing and procurement, Project Management Institute (PMI), and Building Owners and Managers Institute (BOMI).
- Relationship Skills – Ability to communicate effectively and professionally, both oral and written with contractors, tenants, members of the public and team members. Develop and maintain cooperative working relationships. Mature and self-motivated team member with good conflict resolution skills. Commitment to personal growth and integrity aligned with BGO objectives.
- Organizational Skills/Time Management – Ability to work to deadlines with minimal supervision and strategic direction. Results and detail oriented, and accurate. Able to adapt to new ideas and constant change. Ability to work under pressure and achieve quality results. Ability to handle multiple tasks and competing priorities.
- Computer Skills – Intermediate to advanced skills in MS Word, Excel and Outlook
- Police Clearance – A criminal verification check is required for employment.
The Expected Base Pay Range: $65,000 - $75,000 per year. The Base Pay range is for the primary location for which the job is posted. BGO values the contribution of our employees and our compensation structure may vary based on the geographical location of successful candidates, as well as their experience, skills or qualifications. In addition to base pay, eligible BGO employees participate in various incentive compensation plans, based on individual and business performance as well as a broad range of competitive benefits.
