The Opportunity:
BCS Automation is seeking an organized and detail-oriented Contracts Administrator to support the administration of contracts, bids, and customer documentation across our marine and industrial automation projects. This role is ideal for someone starting their career who enjoys organization, documentation, and learning how large engineering projects are managed. You'll work alongside experienced professionals while developing valuable skills in contract administration, government procurement, and project support within Canada's growing marine and industrial sectors.
In this role, you’ll support the Contracts Manager and other departments by reviewing and maintaining contract documentation, tracking project milestones, supporting bid and proposal submissions, and coordinating with stakeholders alongside our Engineering team. You’ll play a key supporting role while building valuable experience in the growing marine and industrial automation industry.

Your Role:
- Maintaining organized contract files, customer records, and project documentation.
- Assisting with bids, proposals, tenders, and RFP submissions.
- Support the Contracts Manager and President with bids, proposals, RFP responses, and customer submissions.
- Attend project meetings with customers and field questions, provide updates and arrange follow-ups.
- Support other department administrative activities.
- Tracking contract milestones, deliverables, deadlines, and customer documentation requirements.
- Preparing, organizing, and distributing contract-related documentation.
- Scheduling meetings, recording meeting minutes, and following up on action items.
- Coordinating administrative communication between customers and internal departments.
- Maintaining change order logs, milestone trackers, and document registers.
- Supporting invoicing activities by preparing and organizing milestone documentation.
- Assisting with contract administration activities throughout the project lifecycle.
- Supporting the continuous improvement of contract administration processes, templates, and documentation.
Experience That Will Put You Ahead:
- Diploma or degree in Business Administration, Office Administration, Project Administration, Legal Administration, or a related field.
- Strong organizational skills and exceptional attention to detail.
- Excellent written and verbal communication skills.
- Excellent communication and relationship-building skills.
- Proficiency with Microsoft Office (Word, Excel, Outlook, and Teams).
- Ability to prioritize multiple tasks while maintaining a high level of accuracy.
- Experience supporting bids, proposals, or RFP submissions is considered an asset.
- Experience working in industrial, manufacturing, engineering, or technical environments is considered an asset.
Licenses:
- Valid driver’s license (G2 or G)
- Valid passport for international travel
- A CPIC and security check will be required after hire
