Position Title

Program Assistant, Full-Time Term-Certain

Position Summary

Continuing Education and Corporate Training, a branch of The Donald School of Business is seeking a full-time term-certain Program Assistant from May 4, 2026 to May 21, 2027.

The Program Assistant is responsible for providing course and administrative support to programs within the designated portfolio. This includes assisting with course set up, preparing course packages and materials, instructor support, student support, troubleshooting and class follow-up.

This position acts as the front-line support for learner inquiries and will provide program specific information as required. The Program Assistant performs a wide variety of administrative support services, all of which contribute to the efficient and professional operations of the division. The Program Assistant work in a highly collaborative team environment to ensure all learners have the best experience at Red Deer Polytechnic.

Continuing Education and Corporate Training offers courses and programs that are innovative, industry-relevant and connected to high-demand sectors to help learners start a new career or advance their skills.

Position Responsibilities

Program and Course Set up

Provides instructors and staff with information concerning RDP processes and timelines, service and support, administrative practices, office equipment and basic software questions
Provides instructors, students and organizations support for Lumens login, course information and the registration process
Collaborates with the Program Coordinator on all program, course set up details and instructor recruitment as appropriate
Assists with set up of video equipment, food orders, room bookings, materials, course supplies. For both in person courses and digital courses
Responsible for lab setup/classroom cleanup, send learners log in details, requesting computer IDs, Blackboard access, creation of course packages
Confirms Blackboard content, Program Assistant and Instructor has been loaded prior to course delivery
Pulls/tracks enrollment reports, removes old or existing students/managers from Blackboard, assists instructors in accessing Blackboard

Learner Supports

Provides support to prospective and current learners regarding their courses and general questions, escalates complex cases to Operations Manager or Program Coordinator
Responds to Learner phone calls, responds to email inquiries, reception – walk in traffic, check voicemails
Contacts previous students about upcoming courses, update statistical forms and spreadsheets as required
Promotes courses when prospective students inquire, updates interest lists when needed
Provides program specific information regarding requirements, electives, procedures, timelines and general program facts for designated portfolio while promoting all Continuing Education and Corporate Training programs.

Post Course Completion

Reviews courses in Lumens to ensure attendance and grades are entered by instructors
Notifies instructor(s) if grades are not entered in Lumens 11 days after course completion
Submits grades for Banner entry if needed and converts grades into proper format if necessary
Processes applicable actions for course cancellations, collaborates with team members to ensure all items are completed
Ensures proper letter/certificate is created according to student mark, updates Registrar as applicable and/or mail out to student certificate

Course Delivery Support

Provides last minute photocopying/printing, technical support for audio visual issues, food order issues, custodial issues, unplanned room setup
Greets and ensures instructor(s) have everything needed for class
Provides course materials, course packages, rooms, keys, equipment, food, put in requests for room set up (main only, instructors do it themselves downtown), as applicable
Posts class cancellation notices or sends communication as required

Meeting, Event, and General Administration

Attends meetings related to portfolio, records, and prepares minutes, communicates, and follows up on action items to relevant parties, distributes minutes as appropriate
Assists with booking of events, retreats, meetings, recruitment, and orientation activities
Participates in special event organization or attendance related to program portfolio and/or general Continuing Education and Corporate Training promotion
Maintains filing systems ensuring FOIPP standards, which includes archiving, document retrieval, and student program filing

Required Qualifications

Two (2) years of post-secondary training, completion of a community college certificate inBusiness Administration, Office Administration, or related.
Over Two up to Three years previous job-related experience

Benefits and Compensation Information

An additional 15% of the hourly rate in lieu of vacation, statutory holidays and benefits.
