Part-time Probationary Secretary II - .80 FTE

St. Teresa of Avila School

We are seeking an administrative assistant (Secretary II) who will responsible for the financial secretarial duties and responsibilities. This position provides financial, administrative, clerical, and reception support to the school and plays an important role in the effective day-to-day operation of the school office.

We are a diverse school community that welcomes many families from around the world. A positive, kind, and patient disposition is essential when interacting and communicating with parents, students, and staff.

We are seeking a flexible team member who possesses strong organizational and people skills. The ideal candidate will take initiative, assist where needed, and be a committed member of the office team.

Preference will be given to candidates with a strong commitment to Catholic education, knowledge of PowerSchool and Google programs, and experience in an office setting.

Key responsibilities of this position are:

Supporting the management and tracking of school budgets and financial records.
Processing invoices, expense forms, purchase orders, and other financial documentation.
Monitoring and tracking student fees and related accounts.
Completing invoice entries and maintaining accurate financial records.
Supporting school ordering and purchasing processes.
Using digital databases and Google Sheets to organize, track, and report information.
Maintaining accurate student and financial records.
Providing administrative and clerical support, including correspondence, reports, forms, and other documents.
Providing reception support and responding to telephone, email, and in-person inquiries from students, families, staff, and community members.
Supporting student needs and assisting with the day-to-day operation of the school office.
Communicating financial and administrative information in a timely, accurate, and professional manner.
Working closely with the Principal and Vice Principal team to provide support and other duties as assigned.
