Job Description:
We are seeking a highly organized and proactive Executive Assistant (EA) to the General Manager to support day-to-day operations, administrative coordination, and strategic priorities.
This role is critical to ensuring the General Manager’s time, communication, and workflow are structured efficiently. You will act as a central point of coordination across internal teams, vendors, and clients—helping drive accountability, follow-through, and operational consistency.
The ideal candidate is detail-oriented, highly professional, and able to manage multiple priorities with discretion and efficiency.
Key Responsibilities:
- Provide direct administrative support to the General Manager, including calendar management, meeting coordination, and communication follow-ups
- Track priorities, action items, and key deliverables to ensure accountability across the organization
- Draft, review, and manage professional correspondence, internal communications, and documentation
- Coordinate meetings, prepare agendas, and ensure clear outcomes and follow-through
- Assist in managing company initiatives, process improvements, and internal projects
- Support HR-related coordination (offer letters, onboarding, employee documentation)
- Assist with financial and operational reporting (AP tracking, project summaries, dashboards)
- Maintain organized records and documentation across key company functions
- Act as a liaison between leadership, staff, clients, and vendors
- Support general office operations and contribute to process standardization and improvement
Skills & Qualifications:
- Must be growth minded and goal oriented.
- 3+ years experience in an administrative, executive assistant, or coordination role (construction industry experience is an asset)
- Exceptional organizational and time management skills
- Strong written and verbal communication skills (professional and concise)
- Ability to manage multiple priorities and work independently in a fast-paced environment
- High level of discretion and professionalism when handling sensitive information
- Strong problem-solving mindset with attention to detail
- Proficient in Microsoft Office Suite (Outlook, Word, Excel); experience with project or accounting software is an asset
- Comfortable working in a structured, process-driven environment with evolving priorities
