Job Description:

We are seeking a highly organized and proactive Executive Assistant (EA) to the General Manager to support day-to-day operations, administrative coordination, and strategic priorities.

This role is critical to ensuring the General Manager’s time, communication, and workflow are structured efficiently. You will act as a central point of coordination across internal teams, vendors, and clients—helping drive accountability, follow-through, and operational consistency.

The ideal candidate is detail-oriented, highly professional, and able to manage multiple priorities with discretion and efficiency.

Key Responsibilities:

Provide direct administrative support to the General Manager, including calendar management, meeting coordination, and communication follow-ups
Track priorities, action items, and key deliverables to ensure accountability across the organization
Draft, review, and manage professional correspondence, internal communications, and documentation
Coordinate meetings, prepare agendas, and ensure clear outcomes and follow-through
Assist in managing company initiatives, process improvements, and internal projects
Support HR-related coordination (offer letters, onboarding, employee documentation)
Assist with financial and operational reporting (AP tracking, project summaries, dashboards)
Maintain organized records and documentation across key company functions
Act as a liaison between leadership, staff, clients, and vendors
Support general office operations and contribute to process standardization and improvement

Skills & Qualifications:

Must be growth minded and goal oriented.
3+ years experience in an administrative, executive assistant, or coordination role (construction industry experience is an asset)
Exceptional organizational and time management skills
Strong written and verbal communication skills (professional and concise)
Ability to manage multiple priorities and work independently in a fast-paced environment
High level of discretion and professionalism when handling sensitive information
Strong problem-solving mindset with attention to detail
Proficient in Microsoft Office Suite (Outlook, Word, Excel); experience with project or accounting software is an asset
Comfortable working in a structured, process-driven environment with evolving priorities
