Document Controller

Introduction
Our client is seeking a Document Control Specialist to support project and operational document management activities. This role will focus on ensuring document integrity, compliance, and accessibility across key projects and closeout activities.
The successful candidate will play a critical role in maintaining document control standards, supporting project closeout, and contributing to ongoing shutdown and operational initiatives.
Responsibilities
· Support project documentation activities, including addressing documentation gaps, non-compliance fixes, and overall document cleanup
· Manage vendor documentation cleanup, including extracting, renaming, and uploading files into SmartPlant Foundation (SPF)
· Conduct hardcopy records audits and coordinate off-site record storage activities
· Audit project folders and drives to retrieve and correct documentation not aligned with document control processes
· Extract and upload specialty item datasheets into SPF
· Support project closeout activities, including drawing reconciliation and uploading finalized documentation into SPF
· Assist with and document the as-building process
· Monitor and manage the Document Control mailbox, responding to user requests and conducting historical document searches
· Provide support for broader document control activities, including:
o Shutdown support activities
o Scanning and uploading vendor documentation into SPF
o Processing and tracking redline markups
o Managing electronic file naming conventions within SPF
o Issuing document transmittals
Requirements
· Minimum Grade 12 education, plus 4–5 years of combined post-secondary education and relevant experience
· 5+ years of experience in an engineering records and/or document control environment
· Strong proficiency with Microsoft Office Suite
· Experience with SmartPlant Foundation (SPF) is preferred
· Experience with MicroStation is considered an asset
· Strong initiative and problem-solving skills
· High attention to detail with a focus on data integrity
· Strong communication, interpersonal, planning, and organizational skills
· Ability to work independently and within a team environment, with minimal supervision
