About Us

Zavitz Property Maintenance Inc. is a growing property maintenance company serving Sarnia-Lambton. We provide lawn care, landscaping, snow removal, property maintenance, renovations, pressure washing, unit turnovers, and general property services for residential, commercial, and property management clients.

We are looking for a highly organized and motivated Administrative Assistant to support our day-to-day operations and help keep our office running efficiently.

Responsibilities

Answer phone calls, emails, and customer inquiries
Schedule estimates, work orders, and service appointments
Maintain customer files and company records
Prepare quotes, invoices, and work orders
Assist with accounts receivable and payment tracking
Coordinate with field crews and subcontractors
Manage company calendars and appointment scheduling
Maintain inventory of office supplies and company documents
Update spreadsheets, reports, and job tracking systems
Assist with social media updates and marketing initiatives
Support management with administrative and operational tasks
Ensure accurate data entry and record keeping

These duties align with common Canadian administrative assistant responsibilities such as scheduling, correspondence management, filing systems, record keeping, and office coordination.

Qualifications

Previous administrative or office experience preferred
Strong organizational and multitasking abilities
Excellent communication and customer service skills
Proficient with Microsoft Office (Word, Excel, Outlook)
Experience with QuickBooks is an asset
Ability to work independently and in a fast-paced environment
Strong attention to detail and problem-solving skills
Valid driver’s license is considered an asset
